The Division of Planning and Assurance at UNSW was established in July 2020 and combines the functions of Legal, Governance, Compliance, Records, Archives, Risk, Safety, and Internal Audit. The Division is dedicated to supporting the University to achieve the goals in Strategy 2025 through the provision of relevant and effective planning and assurance functions.
Why Your Role Matters:
The PMO Lead plays a key role within the Enterprise Portfolio Management Office (EPMO) Centre of Excellence for Project Management. This role will work closely with leaders and stakeholders across the faculties and divisions in UNSW to provide support and specialist advice in the establishment of projects and programs of work. Supporting leaders and project teams to develop business cases in-line with the EPMO guidelines and standards while building and maintaining strong relationships with stakeholders is key for this role.

The Project Management Office Lead reports to the Director, EPMO and manages a team this includes, but is not limited to a Business Partner, Project Manager and Business Analyst.
Responsibilities:
  • Provides project management leadership and expert advice throughout the development and establishment of project plans for projects and programs of varying complexity and size, ranging from $500k to over $5m.
  • Provide strategic leadership and advice regarding the establishment and delivery approach of projects to achieve business objectives, business benefits and business value.
  • Support project owners to secure and manage funding for the projects, via the preparation of viability papers, business cases, stage gates, change requests, and post-investment reviews.
  • Ensure program teams adhere to EPMO methodologies and governance, as well as contribute to the EPMO centre of excellence and lead the project management community of practice, which includes developing tools and templates.
  • Lead the continuous improvement and development of project management processes and methodologies within the EPMO Centre of Excellence.
  • Provide high level project management support and guidance during project establishment working with program stakeholders, program governance committees and senior business leaders.
  • Drive a strong customer-centric culture within the program and provide appropriate communications both written and verbal to sponsors, project teams and steering committees as required.
  • Lead and manage a team of project management specialist in a matrix structure applying the EPMO’s governance and project execution frameworks for all projects.
  • Proactively communicate with and coach stakeholders in the application of the EPMO Centre of Excellence project management processes and tools.

Skills and Experience Summary:
  • Experience in resource planning and allocation in a dynamic, changing, and complex organisation to support project teams in all stages of project implementation.
  • A strong background in program and project governance and substantial demonstrated experience working with and delivering work according to a range of project management methodologies and techniques.
  • A strong understanding of the higher education sector and related systems and processes, and how these intersect in delivering outcomes for UNSW students, staff and partners.
  • Extensive experience in managing and motivating a team, with an ability to work collaboratively to quickly establish and maintain a high level of personal and professional credibility with the wider team and stakeholders, ideally in an EPMO environment.
  • Financial management experience and literacy, experience writing business cases, managing budgets and controlling income and expenditure for a project.
  • Sound understanding and consistent application of project management competencies including scope, time, cost, quality, HR, communications, cost, risk, procurement and integration.
  • Demonstrated high-level ability to manage and drive continuous improvement, problem solve, identify risks, and respond flexibly to changing circumstances.
  • Excellent communication skills with proven ability to write and present concisely and confidently to an executive audience.
