Based on Reception, your role is to assist in the day to day activities to keep our operations moving. You will act as the first point of contact for our visitors and customers, both at reception and via switchboard, and exceed customer service expectations. You will bring your well-developed administration and organisational skills to support a wide range of activities across our office and operational teams. Your motivation coupled with your attention to detail will see all tasks completed with efficiency and timeliness.
Position: Receptionist/Administration Assistant
Type : Full-Time
Location: Outer Harbor
Responsibilities
- Answer and distribute all incoming calls in a prompt, efficient and friendly manner and forward messages appropriately
- Meet and attend all visitors at reception in a courteous and timely manner including registering all visitors and issuing passes were necessary
- Assist the General Manager in meetings, taking minutes and actions
- Assist accounts payable with invoice entry and other data inputting
- Conduct clerical duties including filing, responding to emails and preparing documents
- Ensure the reception area is clean, tidy and presented to the highest possible standard for both internal and external guests and clients
- Maintain stationary, kitchen supplies and uniforms for all office areas
- Assist other administration/clerical staff and management as required
- Working as a team across all areas of the business
- Excellent organisational skills and attention to detail
- Communication skills with ability to deal with colleagues, visitors, clients, suppliers in person, via telephone and email
- Intermediate MS Office suite skills is an essential
- Proven ability to work with people at all levels
- Successfully completed Secondary Education
- Prior Reception and Administration experience preferred
- Solid experience within a fast-paced and demanding role
- Email management, Data Entry and Digital Calendars skills preferred
