This position is a part of the Non-Academic Staff Association (NASA).

Working for the Office of the Dean of Students
The Office of the Dean of Students supports all students — undergraduate and graduate — in the pursuit of academic and personal success.
The Dean of Students collaborates with faculties, offices, and services across all campuses to deliver effective programming and provides leadership on university policies and initiatives.
The Office of the Dean of Students coordinates many services that strive to create diverse and inclusive support in all stages of the student experience, including: academic resources, career and professional development, health & wellness services, and community resources.
Position
This position provides a wide range of Administrative support to the Student Equity and Accessibility team, as well as the Student Conduct and Accountability team. These teams work with a wide range of students from diverse backgrounds and/or equity-seeking groups (including LGBTQ2+ students, military-connected students, students who parent, religiously observant students, and/or students who have physical or mental health disabilities, among others), as well as working with extremely sensitive and highly confidential data on a regular basis.
This role also provides backup Administrative support to other units within the Dean of Students office, as required.
Duties
  • Prepares minutes, emails, internal communications, agendas and other correspondence.
  • Manages the electronic calendars, including scheduling appointments and organizing meetings involving numerous internal and external attendees
  • Scheduling of training and education sessions.
  • Prepares a variety of documents and correspondence for record-keeping, signatures and distribution.
  • Office reception tasks (opening and closing the office each day, greeting guests, answering phones, checking in appointments, etc.).
  • Student appointment booking/coordination (receiving requests, creation of calendar events at appropriate times, etc.)
  • Coordination of group events/meetings (e.g., booking rooms/setting up Zoom events [including recording], creation of calendar events, distribution of agendas and other group event/meeting communications).
  • Other duties as assigned.
Qualifications
  • Diploma in Business Administration.
  • Three to five years of administrative experience preferably in a post-secondary environment, shared services and/or large, complex environment.
  • Experience providing student facing support in high-risk environments
  • Current or previous experience in administration at the University of Alberta is an asset.
  • Proficient in Microsoft Office, Google Applications, Adobe Pro; and content management systems, Cascade is an asset.
  • Knowledge of People Soft or similar enterprise systems.
  • Excellent computer skills including proficiency in the use of databases, spreadsheets, and word-processing software.
  • Demonstrated proficiency with People Soft, Supply NET, Microsoft Office, and Google applications preferred.
