Director, Property Management – Western Canada Operations

Kipling is currently seeking candidates for the position of Director, Property Management – Western Canada Operations.
This role will carry out the senior leadership responsibilities for Kipling’s commercial and residential property management portfolio in Calgary and across Western Canada. Reporting to the Chief Operating Officer, the individual will be responsible for property management of the portfolio as per the duties and responsibilities listed below with a primary focus on corporate and business development in Calgary and across Western Canada. The individual will be an independent self-starter who enjoys working as part of a dynamic team in a growing mid-size company and who has a desire to grow with the company. Strong property management discipline, attention to detail, networking, relationship management skills and innovative thought are key attributes we are looking for in this position.
DUTIES AND RESPONSIBILITIES
Corporate & Business Development
· Assist in developing a business plan to expand Kipling across Western Canada; Set up new Calgary office and strategically hire and build team to service new and existing clients across all Kipling service lines,
· Establish and maintain excellent relationships with existing and prospective clients,
· Be a brand ambassador for Kipling; Network with industry associates to build on the Kipling brand in Calgary and across Western Canada,
· Contact Calgary and across Western Canada based private and institutional owners to ensure they are aware of Kipling and to seek future management business,
· Monitor and respond to any public or privately issued RFP’s,
· Together with Head Office, prepare and present management proposals to potential clients.
Building Operations
· Develop key relationships with client representatives and stakeholders and manage all communications,
· Maintain close working relationships with tenants and oversee resolution of any tenant issues,
· Perform regular inspections of the properties to ensure that high standards of cleanliness, maintenance and security are maintained and initiate corrective actions as needed,
· Oversee rectification of day-to-day property management issues,
· Procure all third-party vendor services, observing budget restrictions and procurement guidelines, and tender/re-tender where and when required,
· Supervise building operations staff in the performance of their duties,
· Coordinate and develop operating manuals for the properties – eg. emergency preparedness, tenant manuals, property constructions manuals,
· Attend regular meetings with clients, stake holders and tenants,
· Manage/Oversee both capital and construction projects in conjunction with Kipling’s project management team, as approved by client in compliance with all governmental regulations,
· Manage all administration duties at the property including any administrative staff,
· Ensure compliance with all applicable government regulations,
· Develop risk management programming for the property in conjunction with Kipling’s corporate policies,
· Manage and oversee emergency situations,
· All other duties as required.
Financial Duties: Reporting & Budgeting
· Coordinate and manage monthly/quarterly reporting and annual operating and capital budget process per client requirements,
· Coordinate preparation of operating budget and capital plan (1-5 year and 10 year),
· Oversee accounting deliverables including processing of payables, invoicing, accounts receivable, utilities management, and all related reporting on a timely basis,
· Manage all aspects of budgetary expenditures during the year,
· Preparation of variance analysis on a monthly and ad hoc basis as required,
· Ensuring proper work order and invoice approval procedures are maintained,
· Review and approve purchase orders and invoices for work performed at the properties,
· Review and monitor tenant invoices, accounts receivable and correspondence,
· Liaise with accounting team to ensure accuracy and timely delivery of all client reports.
Leasing
· Develop annual leasing and marketing plan for each property as required by client,
· Ensure that all appropriate tenant renewal opportunities are pursued proactively,
· Draft, negotiate and execute lease proposals and building standard lease documentation with a sense of urgency, on approval of senior management and/or client,
· Partner with property manager/project manager to ensure tenant leasehold projects are delivered as per lease,
Requirements:
· Minimum 7-10 years of direct commercial property management experience,
· Post-secondary education, completed RPA and provincial licensing,
· Real Estate License required; Broker’s License preferred,
· Leasing experience necessary including financial deal analysis and proposal drafting and negotiating,
· Experience coordinating capital and construction projects.
