Administrator / Document Controller ( Construction back ground preferred)

We require a Document Controller / Contract Administrator to join our team, the position will be site-based in Midleton, Co Cork.
The ideal candidate will have a strong document administrative background, and be experienced managing various administrative tasks in a changing environment. Experience in the construction industry would be beneficial.
Key Responsibilities
  • Oversee and manage the document management process for the project in compliance with all quality and Client requirements
  • Use of software and electronic documentation system as per project requirements.
  • Check documents for compliance with project requirements, and issuances of documents, update registers, and manage all incoming and outgoing documents.
  • Ensure all relevant documentation are maintained in the Electronic Document Management System.
  • Work directly with the project’s onsite team to ensure the smooth running of the project. Provide administrative support where required; scheduling internal meetings, recording decisions, creating workflows, preparing documentation, monitoring project progress, and coordinating quality controls.
  • Ensure the timely distribution of documents and drawings to project teams. Distribute drawing transmittals and submittals to the client.
  • Amend documents accurately, communicating and redistributing to relevant personnel where necessary.
  • Liaise with contractors and client regarding the management and distribution of essential documents.
  • Create templates for future use
  • Complete other administrative tasks to support the overall business which may arise.
  • Maintain confidentiality around sensitive information and terms of agreement.
  • Prepare ad-hoc reports on the project as required.
  • Awareness and understanding of applicable company procedures.
Requirements
  • 2 plus years Document Control experience within regulated industries
  • Experience with document management systems.
  • Proficiency in MS Office
  • Well organised, self-motivated, excellent interpersonal and communication skills.
  • Construction-related experience would be beneficial.
Job Type: Full-time
Pay: €35,000.00-€40,000.00 per year
