CE Scheme - Reception/Admin Assistant

This position is for a Community Employment Scheme.
To qualify for a CE Scheme you must be aged between 21-55 and be unemployed for 12 months AND you must also be getting any combination of the following payments for at least 12 months:
  • Jobseeker's Benefit (JB)
  • Jobseeker's Allowance (JA)
  • Jobseeker's Transitional payment (JST)
  • One-Parent Family Payment (OFP)
  • Deserted Wife’s Benefit
  • Widow's, Widower's or Surviving Civil Partner's Contributory Pension
  • Widow's, Widower's or Surviving Civil Partner's Non-Contributory Pension or
  • Farm Assist
You may also be eligible if you are a Qualified Adult on Jobseeker’s Allowance or if you are aged 18 years and over and you are:
  • Getting Disability Allowance, Blind Pension or Invalidity Pension, or
  • Getting Illness Benefitfor at least 6 months, or
  • A member of the Traveller community, unemployed and getting Jobseeker's Benefit or Jobseeker's Allowance for any length of time or One-Parent Family Payment for at least 1 year, or
  • A person with refugee statusand getting any DSP payment for any length of time, or
  • Referred following an appropriate assessment according to the National Drugs Rehabilitation Framework protocols, an ex-offender who has been referred by the Probation Service or other designated service, or an ex-offender not referred by a designated service who has been getting JA or JB for 12 months, or
  • Living on one of the offshore islands and currently getting a CE-qualifying payment for 6 months or more
This is a developmental opportunity, no experience necessary. Accredited training will be provided to support your career.
Galway Autism Partnership (GAP) is a local charity that provides support and services to autistic people in the Galway area and their families.
Main Duties and Responsibilities:
Working under the supervision of the General Manager, the CE Administrator will perform a variety of general administrative and clerical services for the GAP office. Answering phones, taking messages and dealing appropriately with queries,by email and in person.
Co-ordinate GAP’s administrative activities in an effective, up to date, and accurate manner.
Assist in the development and distribution of information for employees, volunteers and GAP community. To include the production/assist in the production of required internal and external reports upon the direction of the General Manager,eg. sharing adverts, social media updates, application forms and correspondence as required.
Perform clerical functions such as preparing correspondence, receiving visitors and sharing information and support with members and potential members of GAP, employees and stakeholders.
Operate office equipment such as computers, scanners, photocopiers, voice mail messaging systems to complete tasks, coordinate any required repairs to office equipment.
Perform monthly First Aid kit and Fire Safety checks, replenish stock as necessary, and ensure that the premises are maintained to a high health and safety standard. Report necessary repairs to General Manager.
Work closely with the GAP General Manager & Team to organise events and fundraisers.
Processing and posting orders through online shop; stock taking and renewing stock online and communicating with customers regarding orders.

Display a respect and understanding for autistic people and their families, and be committed to providing support to improve their quality of life.
Knowledge of the variety and the extent of challenges and experiences facing autistic people and their families.
Have front-line experience in working with service users/customers.
An awareness and sensitivity to the abilities and needs of children, young people and vulnerable adults, including knowledge of Child Protection and safeguarding procedures.
Ability to achieve set targets/goals.
Strong inter-personal and communication skills, experience in building and managing key relationships, an ability to deal with a diverse range of people.
Strong organisational skills.
Excellent IT, verbal/written communication skills.
An understanding of budgets, finance and fundraising.
The ability to negotiate, Direct marketing experience and of marketing via social media
Excellent presentation skills.
Other requirements: Garda vetting is required for this position.

Pay: From €259.50 per week
