Customer Service and Logistics Coordinator

The purpose of the Customer Service and Logistics Coordinator role is to support the Logistics Manager with all administration activities and ensure the smooth running of the department within the operation through focus on finances, sales, staff, systems, and culture in adherence to the company’s policy and procedures by:
Customer Service:
 Tracing orders as required and notifying customers of any activity concerning their order.
 Handling returned merchandise in an efficient manner and ensuring communication is maintained with the customer.
 Maintaining excellent working relationships with customers by responding to all inquiries and complaints concerning work orders, invoices, shipments, inventory counts, etc., in a courteous and efficient manner.
 Reporting customer feedback to management, including any signs of customer dissatisfaction.
 Acting as a liaison between the warehouse and the customer in administration of accounts and between the office and customer regarding invoicing and credit information.
 Maintaining strong relationships with customers and suppliers.
 Ensuring arrival notices are communicated to our customers at all times.
 Interacting with our customers in arranging their international shipments and meeting customer service standards.
 Overseas communications, timely responses to emails and requests (internal and external).
 Escalation of problems to Management when necessary.
Administration:
 Completing the paperwork for the incoming and outgoing freight with accuracy and attention to detail.
 Coordinating with relevant departments to ensure freight is correctly managed.
 Daily process and input of all customer orders and distribution accounts.
 Providing daily operational reports that are accurate and timely.
 Running stock reports to check for product availability.
 Generating all related paperwork and necessary information required for customer work orders, checking all orders for special requests and posts inventory records.
 Performing accurate and timely data entry for receiving order allocation, shipping and inventory management.
 Rating domestic transportation bills, Weekly Charges Sheets and Billing To Customers.
 Coordinating special, last minute shipping requests with the Transport and Operations Departments, expediting any order as necessary.
 Ensuring accurate and timely client and vendor billing.
 Maintaining damage records and backorder logs.
 Inputting all receipts, put-aways, moves, cross-checking, shipments and cycle counts.
 Providing warehouse staff with necessary documents and information needed to complete receiving, and to ship orders.
 Providing support with other miscellaneous projects, filing and research.
 Maintaining a current and accurate SOP that details the processing requirements for each account.
 Meeting compliance at all times to regulations. This includes internal policies and procedures such as Operational Process Standards (OPS) and customer policies / requirements.
 Achieving KPs, as per the company’s procedures.
 Ensuring smooth and timely freight process flow.
 Understanding department process flow and looking for best practices to improve operational efficiency and productivity.
 Attending training classes when required to meet company standards where required.
 Promoting compliance in diligently following all company policies and regulations and performing the task at hand with outstanding integrity and pride.
Requirements:
 Minimum 6 months' experience in a Logistics role.
 Minimum 1 year experience in a customer service role.
 Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results.
 Pro-active, strong organizational skills.
 Good understanding of Microsoft Office suite.
 Fluent in operational English, both oral and written.
 Previous experience in Azyra preferred.
