Document Administrator (Temporary)

Assist in the setup of document templates, ensuring they align with College standards and regulatory requirements.

Pre-populate templates with relevant content provided by stakeholders.

Format documents meticulously, ensuring consistency in style, layout, and adherence to style guidelines.

Collaborate closely with the Academic Development Project Manager to ensure that all documents are created, reviewed, and finalised within established timelines.
-
Monitor the document management process from initial creation through to final submission, identifying and addressing any bottlenecks or issues that may arise.

Provide status updates to the Academic Development Project Manager and Assistant Registrar, highlighting any areas that may require additional support or intervention.

Work with the Assistant Registrar to compile and finalise documentation packs for submission to review panels and the Quality and Qualifications Ireland (QQI).

Ensure that all documents are error-free, well-organised, and complete before final submission.

Liaise effectively with academic staff and administrative teams to gather necessary information and ensure the accuracy of all documentation.

Act as a point of contact for document-related queries, providing guidance and support where necessary.

Collaborate with team members to ensure a smooth and cohesive workflow across all programmes and disciplines.

Conduct thorough reviews of all documents to ensure they meet the highest standards of quality and accuracy.

Implement and adhere to quality control processes, identifying and correcting any inconsistencies or errors in documentation.

Provide feedback and recommendations for improving document management processes, contributing to the continuous improvement of academic programme documentation.

Microsoft Office and Google Documents Proficiency: Advanced skills in Microsoft Word and Google Docs, with experience in managing large, complex documents.

Attention to Detail: Exceptional attention to detail, ensuring accuracy and consistency in all aspects of document creation and formatting.

Communication Skills: Strong verbal and written communication skills, with the ability to convey information clearly and effectively to a range of stakeholders.

English Language Proficiency: Advanced English language skills, both verbal and written, to ensure clarity and precision in documentation.

Team Collaboration: Proven ability to work effectively as part of a team, demonstrating flexibility, adaptability, and a collaborative approach to problem-solving.

Experience: Previous experience in a similar role, particularly within an academic or educational setting, is desirable.
