Event Coordinator - 12 Month Specific Purpose Contract

Position:
Role: Event Coordinator
Report to: Event Team Lead
Salary: €35,000
Contract: 12 Month specific purpose contract

Post Summary

Reporting to the Events Team Lead, the Event Coordinator will be responsible for the following but are not limited to:
  • Work within a busy team to support the development and management of our events which include online webinars, conferences and conferring's
  • Use our online systems including cloud-based platforms such as Teams, Quercus and Cvent to set up education events, and our website rcpi.ie to promote bookings.
  • Liaise with the Deans of our Faculties and Institutes and other doctors to agree timelines, platform parties and speakers for their events that are tailored to their audiences.
  • Oversee the logistics and the execution of the webinars, hybrid conferences & conferring's before, during and post event including:Set up of No 6 Kildare Street where applicable for Events & Conferrings Manage the registration check in process for attendance by delegate.Manage third party suppliers – caterers, posterboard suppliers, Av companies, DHL etc Managing event budgets.Assisting with processing and postage of graduate certificates Provide and circulate evaluation report for each educational event/conferring and summarise into quarterly reports where appropriate Evaluate, review and revise educational/conferring events, including costs.
  • Liaise and manage communication with speakers for events and to support these events as they go live.
  • Review and edit video recordings for virtual events and conferring's.

Requirements:
The successful applicant will have the following experience in a comparable or education coordination role as well as:
  • 2 to 3 years’ experience of working in a team delivering successful events in the education, health or other sectors.
  • Excellent administration, organisational and inter-personal skills with attention to detail.
  • Strong collaboration and communication skills.
  • Proven ability to work well within a team.
  • Proven track record of achieving business goals.
  • Excellent ICT skills with the capacity to use technology to increase efficiencies in processes to deliver online, hybrid and in-person events.
