We are currently recruiting for Facilities Co-ordinator for a fully Integrated service contract that requires excellent communication and administration skills with the ability to work independently to confidently resolve issues. To support the Facility Manager in the coordination and delivery of various office administrative, hospitality, soft and hard service maintenance, To work within the OCS company guidelines and provide the client’s internal and external customers with supportive, efficient and professional services at all times. Location: City Centre, North Dublin.
Main duties & Responsibilities:
- Co-ordinate between Client, Security, Catering, Cleaning, FM teams & Sub-Contractors.
- Responsible for the management of both Client and Company FM SW Systems monitoring & scheduling preventative maintenance and reactive works to bring them to closure.
- Upload documents, update trackers and follow up on remedial works identified.
- Client reporting Weekly, Monthly, Quarterly.
- Coordinate all mailroom, logistics, stationery, distribution and porterage support services as directed by the Client.
- Coordinate general safety & security support by supervising and escorting service providers and contractors as necessary.
- Undertake configuration and setup duties to all meeting, events and ancillary support spaces.
- Maintain constructive and positive professional relationships with all other OCS service delivery staff and their appointed contractors.
- Manage and track all Catering hospitality and external suppliers relevant. Set up meeting rooms in accordance with hospitalities.
- Co-ordinate all front desk administration and facilities while overseeing day-to-day operation of large Client site portfolio.
- Interface with Client directly, organize and liaise with sub-contractors.
- Carry out daily building checks for fire & safety issues & oversee Access Control System.
- Set up and track new starters and leavers and do monthly site safety inductions.
- Excellent customer service
- Strong communication (verbal & written) and interpersonal skills experience.
- Knowledge of processes around Facilities Management.
- Good organisational & administration skills and ability to prioritise workload efficiently.
- Microsoft Office products including MS Word, Excel, Powerpoint & Outlook.
- Ability to multitask and keep multiple customer issue in progress at once.
- Problem solving skills.
- Facilities Management experience may be advantageous.
- A flexible attitude and a proven record as a strong team player.
- Utmost discretion and confidentiality in all matters relating to work is essential.
