Front Desk Receptionist

Role: Front Desk Receptionist
Reporting To: Admin Manager

The ideal candidate is a detail-oriented team player who will be the first point of contact for patients at the clinic, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of patient information and appointments, administrative/financial work, and general clerical support)
Key Responsibilities
  • To maintain the core ethos of the clinic through interactions with patients, staff, suppliers and partners
  • Provide the highest standard of care to patients attending the clinic
  • Act as Front of House, meeting and greeting patients on arrival or by phone
  • Manage and coordinate the diaries of all medical staff
  • Support the nursing and medical staff in the efficient running of the clinic on a day to day basis
  • Communicate effectively and securely with patients and other staff members in accordance with the Data Protection Act and GDPR Regulations.
  • Maintain an organised and where possible paper-free administrative system
  • Approach work with a proactive and problem-solving attitude
  • Demonstrate empathetic approach in understanding patients’ problems
Duties:
  • Patient communication: patiently and comprehensively answer any patient queries that are within the remit of the role to answer
  • Be aware of the need for timely action both in relation to workload and dealing with patients
  • Patient chart preparation ahead of consults including collation of all relevant results/ paperwork
  • Processing and recording payments
  • Claims submitting to insurers and reconciliation
  • Administrative tasks including but not limited to:
  • Liaising with clinical teams, laboratories and other third parties to ensure all patient results are available at time of consult
  • Filing/scanning
  • Documenting all appropriate correspondence and interactions on patient management software Programme
  • Liaise with third party clinics/hospitals/pharmacies as part of the service provision if and when required
  • Adhoc financial tasks
  • Deferred income
  • HSE billing and payments, taking ownership and overview of the HSE Programme.
  • Monitoring and organizing annual storage and billing.
Education & Professional Qualification
None specifically required.
Knowledge/Skills/Experience
  • Strong organisation skills with a high attention to detail
  • Excellent phone manner
  • Ability to cope well under pressure with the ability to multitask
  • Ability to work on own initiative or as part of a team
  • Experience is preferable but not essential as full training will be provided
Key Job Competencies
This role requires fluency in the English language, if English is not the post-holder’s native language. Strong written and Verbal communication skills are essential for this role
Working Hours:
  • 40 Hour working week. (Paid lunch breaks)
  • 8 hour working day with core operating hours between 7am-4pm with occasional weekends/public holidays required.
