Context:

Since the inception of IOM in 1951, Movement Operations have been and continue to be a fundamental pillar of the Organization’s work. The organized movement of persons in need of international migration assistance is a primary mandate of the Organization and a cornerstone of IOM’s operations. Movement Operations Units in various IOM Country Offices, coordinated under the Resettlement and Movement Management (RMM) Division in the Department of Mobility Pathways and Inclusion at IOM’s Geneva Headquarters, are responsible for all aspects of travel for migrants and refugees under IOM’s auspices, in accordance with the various framework agreements with resettlement and receiving Governments and partners across the spectrum of the Organization's programmes.
Under the general supervision of the Chief of Mission, the direct supervision of the Head of Unit – Movements and in coordination with the Project Associate, the Project Assistant (Resettlement) is responsible for undertaking movements activities, with the following duties and responsibilities:
Responsibilities and Accountabilities:
1. Undertake compliance activities in an assigned area or areas, such as project monitoring and evaluation, project reporting, project support and/or protection.
2. Assist in the implementation and monitoring of project activities.
3. Retrieve, compile, summarize, analyse, and present information/data on specific project topics.
4. Monitor budget; verify availability of funds; obtain necessary approval and update
budget related information.

5. Act as focal point for administrative coordination of project implementation, involving
extensive liaison with diverse organizational units and external parties to initiate
requests, obtain necessary clearances, process and follow-up on administrative
actions, etc.

6. Draft status reports, identifying shortfalls in delivery, bring them to the attention of the
supervisor and suggest remedial actions.

7. Update relevant databases with compliance-related content, particularly in relation to services for vulnerable beneficiaries as overseen by the Operations Associate. Assist in performing quality checks (QC) of compliance-related data in relevant databases while proactively bringing to the attention of supervisors any compliance-related data issues.
8. Draft correspondence on project issues; prepare and update reports, briefing notes,
graphics, statistical tables, presentation and other forms of documentation.

9. Respond to complex information requests and inquiries; set up and maintain
files/records; organize meetings, workshops and training sessions;

10. Participate in meetings and conferences; assist in coordinating implementation
activities with local authorities, partners, United Nation agencies, intergovernmental
and non-governmental organizations, donors and other stakeholders relevant to the
project.

11. Provide support to the Project Associate in relation to a wide range of special projects serving all pillars of Movement Operations in the Region as well as Movement Operations management and IOM Units that are outside of, but support, Movement Operations activities.
12. Demonstrate an in-depth understanding of relevant Movement Operations SOPs and Movements-related systems and databases (including i GATOR, Mi MOSA, SAR and Amadeus), as well as the ability to remain professional, impartial and unbiased during all interactions with migrants and colleagues per the IOM Code of Conduct and instruction on the prevention of sexual exploitation and abuse (PSEA.)
13. Perform other related duties as assigned.
Required Qualifications and Experience
Education
  • University degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with three years of relevant professional experience; or
  • Completed High School degree from an accredited academic institution, with three years of relevant experience.
Experience
  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
Skills
  • Strong computer skills - Word, Excel and Internet
  • Strong interpersonal and communication skills.
  • Ability to work under pressure with minimum supervision.
  • Attention to detail and ability to organize.
Languages
  • Fluency in English is required
  • Any other IOM official language is an advantage
