Position Overview:
We are seeking a highly organized Officer Client Coordination (Female) to support our CEO. The ideal candidate will be a proactive problem-solver with exceptional communication skills and meticulous attention to detail. This role requires managing the CEO's schedule, coordinating meetings, handling correspondence to International Clients, and ensuring smooth operations within the office. Additionally, the candidate should have exposure to digital marketing.
Key Responsibilities:
- Calendar Management: Coordinate and manage the CEO's calendar, schedule appointments, and arrange meetings, ensuring efficient use of the CEO’s time.
- Email Correspondence: Handle email communications on behalf of the CEO, ensuring timely and appropriate responses.
- Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and distributing relevant documents.
- Travel Arrangements: Plan and book travel itineraries, accommodations, and logistics for the CEO’s domestic and international trips.
- Document Management: Maintain and organize important documents, files, and records, both physical and digital.
- Communication: Act as a liaison between the CEO and other staff members, clients, and stakeholders.
- Project Assistance: Assist with special projects, research, and tasks as assigned by the CEO.
- Office Operations: Ensure smooth day-to-day operations of the CEO’s office, including managing supplies and coordinating with other departments.
- Digital Marketing Support: Assist in the development and execution of digital marketing strategies, including content creation, social media management, and online campaigns.
- Education: Minimum undergraduate or graduate degree in any discipline.
- Experience: Previous experience in an administrative role, preferably supporting senior executives. Experience in email correspondence, managing schedules, taking meeting minutes, and using the latest software.
- Communication Skills: Excellent verbal and written communication skills.
- Technical Proficiency: Proficient in using office software, including Microsoft Office Suite (Word, Excel, Power Point, Outlook), and familiarity with project management tools and CRM systems.
- Digital Marketing Skills: Basic understanding of digital marketing principles, experience with social media platforms, content creation, and online marketing tools.
- Organizational Skills: Strong organizational skills with the ability to multitask and prioritize workload.
- Problem-Solving: Ability to anticipate needs, identify potential issues, and develop solutions.
- Interpersonal Skills: Professional demeanor with the ability to interact effectively with various stakeholders.
- Attention to Detail: High level of accuracy and attention to detail in all tasks.
- Discretion and Confidentiality: Ability to handle sensitive information with the utmost discretion and confidentiality.
- Flexibility: Willingness to adapt to changing priorities and work under pressure.
- Time Management: Strong time management skills with the ability to meet deadlines.
- Team Player: Ability to work independently as well as part of a team.
- Proactive: Proactive and self-motivated with a strong sense of initiative.
- Experience working in a fast-paced environment.
- Knowledge of additional languages is a plus.
- Experience in event planning and coordination.
- Familiarity with digital marketing tools and analytics.
- Experience with content management systems (CMS) and email marketing platforms.
