Admin Assistant Manager

As the Admin Assistant Manager you will be responsible for overseeing and coordinating various administrative and facilities functions to ensure the efficient and smooth operation of the daily activities. This role involves managing administrative staff, accommodation, billing, transportation management, implementing policies and procedures, and working collaboratively with different departments to maintain well-organized and compliant regulatory bodies.
Key Responsibilities:
1. Team Leadership:
● Supervise and lead the administrative team, providing guidance, training, and support
● Foster a positive and productive work environment, promoting teamwork and collaboration
● Coordinate and manage the team's daily activities, ensuring adherence to schedules
and task assignments
2. Policy and Procedure Implementation:
● Develop and enforce administrative policies and procedures to ensure compliance
with regulatory requirements and industry standards
● Regularly review and update policies to reflect changes in regulations and operational
needs
● Serve as the primary point of contact for escalated communications between
landlords, tenants, and service providers, ensuring compliance with procedures and
policies
3. Facility Management:
● Oversee the maintenance and cleanliness of the premises, ensuring a safe and
welcoming environment for both staff and customers
● Coordinate with relevant departments to address any facility-related issues promptly
● Coordinate and oversee office renovations, relocations, and other large-scale projects
as directed
4. Documentation and Record-Keeping:
● Manage and maintain accurate and up-to-date records, including employee records,
financial documents, and other relevant paperwork
● Ensure compliance with data protection and privacy laws
● Analyze data from work order reports to create performance and progress status
reports for management review
5. Vendor and Supplier Coordination:
● Collaborate with procurement and finance departments to
manage relationships with vendors and suppliers
● Negotiate contracts, monitor service levels, and address any issues that may arise
● Conduct market research to evaluate new vendors, comparing costs and benefits to
optimize service delivery
6. Regulatory Compliance:
● Stay abreast of the regulations and ensure the compliances with local, state, and
federal laws.
● Coordinate with regulatory bodies as required and participate in audits and
inspections.
● Conduct regular inspections of office spaces to ensure compliance with environmental,
health, and safety standards
7. Financial Oversight:
● Work closely with the finance department to manage administrative budgets, control
costs, CAPEX, and OPEX
● Monitor and report on financial performance against established targets
● Track and manage regular and ad-hoc facility expenses, ensuring budget compliance
and cost-effectiveness
8. Event Coordination:
● Organize and coordinate special events, promotions, and other events within the
organization
● Collaborate with marketing and operations teams to ensure successful event
execution
● Communicate with vendors, sponsors, and stakeholders to secure necessary
resources
9. Customer Service:
● Address customer inquiries and concerns related to administrative matters promptly
and professionally
● Implement measures to enhance the overall customer experience
● Facilitate regular meetings with stakeholders to address facility-related issues and
initiatives
1. Emergency Response:
● Develop and implement emergency response plans to ensure the safety of staff and
customers
● Conduct regular drills and training sessions to prepare the team for various emergency
scenarios
● Coordinate with local authorities and emergency services to enhance emergency
response readiness
Qualifications and Requirements:
1. Bachelor's degree in Business Administration, Management, or a related field.
2. Proven experience in administrative management, preferably in the gaming or
entertainment industry.
3. Strong leadership and team management skills.
4. Excellent organizational and multitasking abilities.
5. Knowledge of gaming regulations and compliance.
6. Effective communication and interpersonal skills.
7. Familiarity with online casino operations and software is a plus.
8. Ability to adapt to a dynamic and fast-paced environment.
