Administrative Assistant / Accounting

Duties & Responsibilities:
Provide administrative support to the Manila Shore Operation
Provide administrative support to Manila Shore Operation.
Ensure the proper coordination, escalation of transactions, and updating of reports are done in a timely manner.
- Monitor the Fuel Consumption Dashboard, coordinate with the branches and LBE department to update the data daily.
- Coordinate with the Technical Services LBE department to update the equipment downtime data.
- Process the billings for repairs, create requests for payment
- Assist and support the CY and Terminal OIC in creating PR through Sertica, monitor the created requests and coordinate with SCM for any updates
- Act as the escalation point for any delayed PRs and Requests for CY and Terminal team.
- Handles the processing of the utilities, rental, and other payment for the services of Manila North Harbour Port Inc. (MNHPI).
- Consolidate the report of nationwide fuel consumption report, equipment downtime, and container yard performance to be reviewed and reported by the Head of National Shore Operation during MANCOM Meeting.
- Other tasks that may be assigned from time to time.
Educational Background:
- Bachelor's degree in Business Administration, Office Administration, Logistics, Supply Chain or a related discipline.
- Preferably with 3 or more years experience in administrative roles.
- Proficient in using office software such as Microsoft Office (Word, Excel, Power Point, Outlook), Google Workspace (Google Docs, Sheets, Slides, Gmail), and other relevant software tools
- Knowledge of effective record-keeping practices, file organization, and document management
- Familiarity in operating printers, scanners and other office equipment.
- Strong problem-solving skills
- Organizational, planning and time management skills.
- Diligent with great attention to detail.
- Excellent communication, organization, and planning skills to proactively manage project scope, identify potential risks, and devise contingency plans.
- Knowledge of and adherence to relevant maritime and shipping regulations and standards, including those related to safety and environmental compliance
- Good Organization, has the ability to organize.

Schedule:
- 8 hour shift
- Day shift
- Administrative Assistant: 3 years (Preferred)
- Accounting: 2 years (Preferred)
