Executive Admin Assistant

Job Summary:
The Executive Assistant to the CEO provides high-level administrative support, ensuring the smooth operation of the executive office. This role involves managing the CEO’s schedule, coordinating meetings, handling confidential information, and serving as a key point of contact for internal and external stakeholders. The Executive Assistant plays a critical role in facilitating the CEO’s effectiveness and efficiency.
Key Responsibilities:
- Calendar Management: Maintain and manage the CEO’s complex calendar, scheduling meetings, appointments, and travel arrangements. Ensure the CEO’s time is optimized and that commitments are met.
- Meeting Coordination: Prepare agendas, compile necessary documents, and manage logistics for meetings. Attend meetings with the CEO when required, taking notes, and following up on action items.
- Communication: Act as a primary point of contact between the CEO and internal/external stakeholders. Handle and prioritize all incoming communications, including emails, calls, and correspondence.
- Project Management: Assist the CEO with the planning, coordination, and execution of strategic projects. Track progress on key initiatives and ensure deadlines are met.
- Travel Arrangements: Organize and coordinate travel itineraries, including booking flights, accommodations, and transportation. Prepare detailed travel schedules and handle any travel-related issues that arise.
- Document Preparation: Draft, edit, and proofread documents, reports, presentations, and correspondence on behalf of the CEO. Ensure all documents are of high quality and error-free.
- Confidentiality: Handle sensitive information with the utmost discretion. Maintain confidentiality of all matters pertaining to the CEO and the organization.
- Executive Support: Provide general administrative support, including expense reporting, filing, and office organization. Anticipate the CEO’s needs and proactively address them.
- Liaison Role: Act as a liaison between the CEO and other executives, employees, clients, and vendors. Ensure smooth communication and coordination across departments.
- Event Planning: Assist in organizing company events, board meetings, and executive retreats. Manage logistics and ensure that events run smoothly.
- Research: Conduct research and gather information on various topics as requested by the CEO. Provide summaries and recommendations to assist in decision-making.
Education: Bachelor’s degree in Business Administration, Communications, or a related field.
Experience: 3+ years of experience as an Executive Assistant, with significant experience supporting a CEO or senior executive.
Skills:
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, Power Point) and other relevant software.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Internet Connection : Must be 5 mbps at the least, preferably wired connection with PLDT, Cable connection is fine if it's more than 5mbps. We DO NOT accept plug-in, wi-fi or wimax.
- Computer/Laptop: The contractor must have a good working computer.
- Headsets : The Contractor must have a noise cancelling headsets preferably Plantronics Blackwire C320M headsets. Assessment will be done during test calls.
- Dedicated Home Office - Contractors are required to have a dedicated home office free from noise and distractions.
- Web Cam - for meeting purposes
- Must be comfortable in working with Time Doctor/Screenshot Monitor
Pay: From Php45,000.00 per month
