The Northwestern University in Qatar Events Manager role coordinates, plans, and executes all university-level institutional events and activities. The candidate reports directly to the Director of Facilities Management and has dotted-line responsibility to the Assistant Dean of Communications and Public Affairs.

This function includes overseeing all university, student-led and departmental events, maintaining and publishing the NU-Q events calendar, and ensuring effective communication and collaboration with the Dean’s Office, Communications and Public Affairs department, production and operational departments. Part of this function’s responsibility will be to develop systems, protocols and frameworks for execution in collaboration with relevant internal partners.
Additionally, this role manages external requests from external stakeholders, coordinating and planning events and initiatives in close collaboration with relevant operational departments. Furthermore, the Manager will collaborate with counterparts from Partner Universities within Qatar Foundation (QF) to foster networking and maintain strong relationships with vendors across Doha. The incumbent will also manage the coffee shop and pop-up vendors within the NU-Q building and serve as an advisor to all NU-Q departments for event and catering needs.
The Events Manager is responsible for conducting post-event analysis and reporting to review successes and identify areas of improvement. The role works in close collaboration with support from the Communications and Public Affairs team to inform and address the communication needs for events, ensuring comprehensive promotional strategies.
  • Conceptualize, plan, organize, and execute institutional events and activities, including, but not limited to, convocation, graduation, ceremonies, and conferences. Prepare and maintain allocated budgets for each assigned event and ensure delivery within budget and in accordance with customer objectives.
  • Provide oversight, advise and guidance on all NU-Q related events including to student leads and department representatives.
  • POC for external space requests. Collaborate and coordinate with operational teams to host external event requests.
  • Publication of events calendar, offer post-event reviews, reporting and analysis, while ensuring effective communication.
  • Negotiate and build partnerships with EC Universities, QF entities, vendors and other entities.
  • Coordinate and oversee the in-building coffee shop and pop-up vendors.
Minimum Qualifications and Competencies
  • Minimum 3-5 years of event management experience
  • You are fluent (mother tongue) in English
  • Proficiency in Adobe Creative Suite (primarily Photoshop)
  • Short- and long-term event planning and management skills.
  • Skilled in managing logistics such as catering, audiovisual equipment, and event timelines.
  • Able to ensure seamless execution by overseeing event setup, registration, and participant engagement.
  • Provides training supervision of internal stakeholders and collaborates well with vendors
  • Exceptional time, resource management and organizational skills.
  • Exceptional communication and presentation skills, both written and verbal.
  • Strong attention to detail, self-directed, displays initiative, resourcefulness, and drive for innovation.
  • Responsible and detail-orientated.
  • Strong communication and interpersonal abilities
  • Creative, resilient, and adaptable to shifts or changes with plans/schedules.
  • Works well with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds.

  • Quality writing, reporting and analysis skills for event summaries, reporting and analysis
Preferred Qualifications and Competencies:
  • Minimum 3 – 5 years of experience planning and managing events, preferably at a higher education or non-profit institution.
  • Knowledge and understanding of special events management, protocols and event planning.
  • Familiarity with Qatar and the Middle East.
  • Fluency in Arabic preferable
  • Project management software (e.g. Smartsheet, MS Project, Eventbrite)
  • Reporting and analysis software (e.g. MS & Creative Suite)
  • AI-driven software
The target hiring range for this position is $73,000 to $83,000 per year. The offered salary will be determined by the applicant’s education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
