Legal Operations Officer

- Design, implement and manage a comprehensive program that includes outside counsel, vendors and managed services as appropriate with the aim of maximizing value and improving predictability, including negotiation of rates and fee arrangements
- Run dynamic RFPs where appropriate and negotiate alternative fee arrangements for projects with predictable scope, and develop pricing models and templates for use across the department
- Collaborate with external counsel and vendors to establish long-term, value-driven relationships, continually optimizing performance, efficiency, and cost-effectiveness
- Analyze outside counsel billing practices against departments outside counsel guidelines to manage spend and ensure vendor compliance, and maintain best-in-breed guidelines
- Design, formalize and implement an invoicing process for the L&BA Team.
- Monitor the invoicing and payment process, in close connection with Finance, and interface with the external counsels in this respect.
- Handle all invoicing administration issues including audit, review, and processing outside counsel or vendor invoices. Leverage internal tools to streamline invoicing processes and improve efficiency.

- Design, Manage and continuously improve the department’s document management system.
- Work closely with the team to develop, implement, maintain and refine forms, playbooks, guides, guidelines, research files, FAQs, policies, processes, procedures and other knowledge management tools.
- Ensure that the legal team and other stakeholders are adequately trained in the use of knowledge management systems, ensuring broad adoption and efficient use.
- Gather feedback from users to continuously enhance the knowledge management systems and self-service solutions.
- Evaluate, implement, and train staff on software tools and other legal department technology solutions to support the legal department's operations (e.g., contract management, corporate governance systems, knowledge management).
- Stay abreast of latest legal technology developments and assess capabilities of solutions relevant to areas such as contract management, content management, IP management, policy management, business process management, e-signature, board management, e-discovery, litigation holds, compliance management and subsidiary management
- Define, revisit and monitor KPIs and other metrics to measure and enhance performance
- Collect data on internal activities and prepare statistics, charts, graphs and other summaries
- Analyze Monthly report & KPIs
- Partner with the company’s Digital team to build a visual, interactive business intelligence dashboard for department leadership to facilitate data-driven strategies
- Ensure data integrity and accuracy in all reports, charts, and dashboards to provide reliable insights for strategic decision-making
- Experience in Legal operations – 2 years minimum
- Understanding of the Legal & Compliance environment
- Experience with legal technology is an asset: implementation and deployment of IT tools (CLM, Vendor Management or other corporate tools), with a focus on driving operational efficiencies
- Ability to analyze data and drive data-driven decisions
- Experience in process design and optimization
- Ability to work independently, with a strong professional ethic
- Strong interpersonal skills with the ability to work collaboratively with multi-disciplinary team
- Fluency in English required, French desirable but not mandatory
- Excellent verbal and written communication skills
