Position Determination:
Position title: Program Support Officer
Organisation: Mercy Mission South Africa
Location: Durban- KZN
Contract: 3 Month Contract
Reporting to: Imam Development Manager
Key Responsibilities:
To offer an extensive administrative and office management support service to the IDP to expedite and facilitate the program’s daily requirements by interacting with the departments that are connected and the IDP coordinators in addition to being involved in planning meetings and trips, writing reports, and keeping up with filing procedures.
Duties and Tasks:
- To handle internal and external inquiries and generally support the IDP.
- Responsibilities include bringing to the IDP manager’s attention any issues that may arise at work or in other departments.
- Arrange and support events, meetings, and other activities to assist in the accomplishment of program priorities, record thorough minutes, and follow through on any action items.
- Respond to incoming requests and letters by composing responses and submitting
them for approval.
- Assist with the program project’s purchase or payment request cycle.
- Submitting invoices and expense claims on the team’s behalf and helping to keep track of program spending.
- Keep an eye on budgets for spending constraints and ensure adherence to donation conditions and limitations.
- Supporting the related department regarding to the payrolls for the Imams.
- All requests, expenses, and Proof of Payments-Po Ps are tracked and recorded,
assuring prompt, efficient, and accurate record keeping.
- Assist the program manager in regularly creating and delivering various trackers and actual vs budget updates for each project/initiative.
- Communicate with other departments and outside organizations as needed.
- To make travel and lodging arrangements
- Help create report templates for the program activities and produce reports as
required and to be completed within the timeframes set out.
- Carry out any other duties assigned by the line manager related to the job purpose.
Skills and Knowledge Required:
- Excellent managerial skills.
- Has strong computer skills.
- Knowledge of and familiarity with relationship management database software.
- Data collection and report-writing skills.
- Excellent written and verbal communication abilities.
- Has prioritization, planning, and time management skills.
- Managing diaries and communications, and working on many projects concurrently.
- Has skills in setting up and maintaining financial records.
- Strong motivation and empathy for the goals and objectives of the organization.
- Has the capacity to work accurately under pressure and pay attention to detail.
- Has the ability to create original ideas and plans of action.
- Has the capacity to work effectively on ones own initiative and as part of a team.
- Has the ability to do so without constant supervision.
- Has the capacity to show consistency in approach to others; and to demonstrate these abilities in action.

Education and Work Experience:
Certificate or diploma in a relevant and closely related field with a minimum of +3 years’ experience in management and NGOs sector.
