Location: Onsite. Valencia, Spain

Position Summary
The Office Assistant's role is to ensure our office's smooth day-to-day operations. This position requires a detail-oriented, organized individual with excellent communication skills and strong multitasking ability. The ideal candidate will be a self-starter, eager to learn, and capable of handling various administrative tasks with precision and professionalism.

Position Summary
The Office Assistant's role is to ensure our office's smooth day-to-day operations. This position requires a detail-oriented, organized individual with excellent communication skills and strong multitasking ability. The ideal candidate will be a self-starter, eager to learn, and capable of handling various administrative tasks with precision and professionalism.
The key responsibilities include:
- Perform various clerical duties such as handling and shipping correspondence, managing all incoming calls, delivering and receiving packages, and other communications.
- Liaise with external services (rental, phone, coffee provider, cleaning service, real estate, security, and record-keeping provider) on a monthly basis to ensure that our invoices match the services delivered.
- Assist the Finance department with invoices every month.
- Resolve office-related malfunctions and respond to requests or issues such as water leaks, electrical failures, broken chairs, and other similar problems.
- Maintain equipment by completing preventive maintenance, troubleshooting failures, and calling for repairs.
- Monitor the level of office equipment and stationery supplies and handle shortages.
- Ensure office efficiency by maintaining all common areas, including meeting rooms and cabin booths.
- Support the Office Manager with company events, including collecting breakfast and birthday cakes, teambuilding, and organizing monthly team lunches.
- Ensure the kitchen area is continuously furnished and stocked.
- Support the Office Manager in any other facilities-related matters, including refurbishment of existing space and/or relocation.
- 5 days per week, 5 hours per week, from 9:00 to 14:00. In-person role.
- Proven experience as an office assistant, office administrator, or in another relevant administrative role.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask. English Proficiency: B2 level.
