About the Role
As the Office Coordinator in our dynamic office, you’ll be the central hub for all office and administrative support activities, ensuring a seamless and efficient work environment. You’ll manage IT equipment and systems, support HR processes such as onboarding and offboarding, handle internal and external reporting, and serve as the go-to person for local benefits and payroll services. This role is perfect for someone who thrives in a fast-paced setting and enjoys being the backbone of a well-run office.
The postholder will require security clearance from relevant Defence authorities.
Role Responsibilities

• Act as local HR support throughout the employee lifecycle, including regional interface with third party payroll and benefit providers, employee data integrity and reporting (both internal and external).
• Supporting wider Divisional HR programmes, act a focal point for HR systems support and employee engagement.
• Support Finance processes including the co-ordination of timesheet completion, support in collating information for purchase requests including capex, and support to the finance team for reporting activities.
• Liaison with local compliance authorities for pension, social security and other regular reporting.
• Local focal point for all aspects of Facilities Management, liaising with third party suppliers.
• Local focal point for all aspects of IT and Business Systems support to Division and Group resources as required.

Knowledge, Experience, Skills Required

• Good written and verbal communications skills in both English and Swedish.
• Experienced in HR processes including payroll and local government reporting.
• Experienced in finance processes including accounts payable, accounts receivable, budget and forecasts.
• Ability to manage multiple and varied projects and tasks.
• Capable of prioritising and managing expectations across various internal and external stakeholders.
• Capable of building strong relationships across a variety of disciplines, with functional leads.
• Fluent in both Swedish and English
• Strong systems experience capability
