About the role
Overseeing office facilities, ensuring a safe and well-maintained environment across three buildings. Responsibilities include overseeing working spaces, coordinating maintenance in the business center, supervising cafeteria services (snacks, fruits, breakfasts), overseeing florist services to enhance office aesthetics, and coordinating relationships with vendors and service providers. Administrating cleaning services.
Takes on a broader role in (lease negotiations), space planning, and optimizing overall office space efficiency. Implements office layout policies, addresses ergonomic considerations, and oversees a comprehensive maintenance program for the business center. Manages, optimizes and regulates all functional areas for a high standard of cleanliness throughout the office

Your key responsibilities will be:
- Lead and manage large-scale facility projects, ensuring effective planning, execution, and delivery
- Lead and mentored 4 administrative Employees, building a collaborative and efficient work environment. Develop and enforce administrative policies and procedures.
- Ensure compliance with relevant laws and regulations.
- Handle lease negotiations, space planning, and optimize overall office space efficiency
- Manage budgets and expenses to ensure cost-effectiveness in administrative operations.
- Drive a robust vendor management strategy, maintaining 70% regular vendors.
- Develop relationships with key vendors to optimize partnerships and streamline procurement.
- Oversee and control the customs clearance process.
- Coordinate the seamless handling of shipments from acceptance to customs clearance.
- Oversee working spaces and coordinate maintenance in the business center.
- Supervise cafeteria services, including snacks, fruits, and breakfasts.
- Oversee florist services to enhance office aesthetics.
- Administer cleaning services and maintain high cleanliness standards.
- Oversee reception services to ensure a welcoming environment for newcomers and guests.
- Communicate effectively with employees, conduct regular drills, and disseminate evacuation procedures and assembly points.
- Coordinate high-level meetings, including those involving senior executives and external stakeholders.
