Position Summary
This recruitment will be used to fill two part-time (a maximum of 20 hours per week during academic terms and a maximum of 40 hours per week during academic breaks) Admin Assistant positions for the Department of Education Administration at Oregon State University (OSU).

This position provides excellent student and customer service support for the staff, faculty, visitors, students, and administration of the College of Education while working in a busy office with frequent distractions and interruptions.

The College of Education contributes to major national dialogues concerning research and the promotion of social justice in (1) the success of English language learners of all ages; (2) developmentally appropriate pedagogy for all ages; (3) learning in science, technology, engineering, and mathematics inside and outside of school; (4) the preparation of mental health and school counselors; (5) adult and higher education leadership. We develop change agents in the form of formal and informal educators, counselors, and leaders. These change agents identify issues and act towards social justice and the full development of human potential and society.

As a part of the Division of Arts and Sciences, we support the division’s campus-wide role in providing a well-rounded, compelling educational experience. Our work seeks to enhance and extend the historic democratic mission of public education: to prepare all citizens, across their lifetime for full participation in a culturally diverse and technical world. This position, as with all positions within the College of Education, is directly responsible for advancing the mission of the College.

Position Duties
General office reception:
  • Assist with office reception by promptly and courteously greeting walk-in and telephone students/visitors.
  • Provide current, informed assistance regarding College of Education procedures, policies, and programs.
  • Provide prompt assistance to faculty regarding office equipment and supplies.


Project work:
  • Consult with supervisor on project requests from other faculty and staff.
  • Work with supervisor to create realistic time management strategies for project completion.
  • Manage timelines and assess ability to meet deadlines.
  • Find and confirm appropriate data sources for data compilation projects.
  • Work independently to create professional spreadsheets, documents or other presentation materials.
  • Integrate materials from multiple programs to create a cohesive end project.
  • Complete assigned projects accurately and in a timely manner.

Other Duties:
  • Complete training required to satisfactorily complete assigned tasks.
  • Restock supplies.
  • Empty recycling for student services and administrative offices.
  • Resupply information racks.
  • Maintain a clean office environment.
  • Sort and distribute campus mail, incoming postal mail, and intra-office mail.
  • Errands, filing, and mailings.
  • Data entry in Student and Faculty database.
  • Paper file digitization and organization.
  • In-box job requests by faculty and staff members.
  • Carry supplies to other offices.
  • Other duties as assigned.

Minimum Qualifications

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*



  • International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.

Additional Required Qualifications
  • Experience with data entry and/or database applications.
  • Experience organizing paper and digital files.
  • Experience greeting and helping clients or customers.
  • Demonstrated successful work in a team environment.
  • Demonstrated self-motivation in project management.
  • Demonstrated organizational skills.
  • Demonstrated ability and willingness to do detailed repetitive tasks with consistent high quality.
  • Excellent verbal and written communication.
  • Attention to detail.
  • Ability to use Microsoft Office suite.

Preferred (Special) Qualifications
  • Interest in learning about the College of Education and representing the College.
  • Demonstrated positive and proactive attitude.
  • Able to lift/carry 20 lbs.
  • Bilingual/Multilingual or experience with bilingual/multilingual students, employees, or co-workers.
  • Demonstrated commitment to enhancing diversity and social justice.
  • Work study eligible preferred but not required

Working Conditions / Work Schedule A maximum of 20 hours per week during academic terms, with the potential for working up to 40 hours during the summer/academic breaks.
