Position: Executive Assistant & Office Coordinator

Department: Human Resources

Work Location: Morristown, NJ, Hybrid (work 3 days onsite)

Hybrid Schedule: At Helen of Troy, we offer a flexible hybrid work model that combines in-office collaboration with remote work. Associates are required to be in the office at least three days per week, with the option to work remotely for two days. However, there may be occasions when associates are needed in the office for all five days of the week. Any updates or changes to this schedule will be communicated in advance.

What you will be doing:
We are seeking an Executive Assistant & Office Coordinator to provide vital administrative support to our key leaders in the New Jersey Office. In this role, you will serve as the organizational backbone for leadership, management, and team members. You will coordinate and prepare for meetings while ensuring consistent follow-up. Your efforts will enhance the efficiency of the Global Leadership Team and managers by handling administrative tasks and special projects as needed. Additionally, you will oversee general office coordination to support daily operations.
  • Schedule meetings, conferences, TEAMS and zoom teleconferences, events, gatherings, visitors and other happenings throughout the year.
  • Attend meetings to capture notes, decisions and action items, arrange GLT travel and complete/submit expense reports.
  • Complete GLT follow up as advised; stay in regular communication to update status of priorities. Create and consistently update travel calendar of office visitors and share with the GLT.
  • Align with Helen of Troy Executive Assistants to support the leadership teams with scheduling/facilitating meetings, creating/sharing out agendas, and all vital logistics.
  • Support offsite meetings, events, catering/reservations as needed.
  • Liaison between GLT, HELE leadership, and IT. as needed.
  • Connect with GLT to update status of priorities, accomplishments and areas where help is needed.
  • Publish meeting notes, decisions made and action items and take on administrative tasks and special projects as needed.
  • Drive an aligned culture and positive office environment. Maintain positive presence greeting and assisting visitors and employees.
  • Participate in and provide administrative support for special projects across a broad range of areas including facilities (New office project, renovations, etc.), sales (sales meeting, etc.), product and others.
  • Work on Facilities and related projects and timely completion of special projects and assignments.
  • Receive general calls and communicates to the office, assisting and forwarding as needed.
  • Communicate office email to the staff which will include current events, birthdays, office closures, and any pertinent information for the team.
  • Coordinate with team on content as needed for office events.
  • Receive ad hoc projects as needed.
  • Ensure for general good housekeeping and tables are clear and clutter free. Ensure office spaces remain clean and clutter free for our employees and guests.
  • Identify maintenance needs throughout the office and work with facilities, landlord and office maintenance to coordinate repairs and maintenance.

Skills needed to be successful in this role:
  • Ability to learn additional software applications if required.
  • Exceptional written and verbal skills – organize, develop, and deliver clear and concise messages.
  • Proven ability to professionally interact with customers, co-workers, vendors and board members.
  • Demonstrated capability to set priorities, meet critical deadlines, juggle projects, and produce high-quality and accurate work under time constraints.

Minimum Qualifications:
  • Bachelor's Degree
  • 3+ years in related experience as a Sr. Executive Assistant
  • Strong proficiency in Power Point, Microsoft Windows and Office, and established ability to create concise, properly formatted, visually exciting presentations including significant Internet research skills
  • This position is privy to confidential information and requires diplomacy, discretion and judgment
  • Authorized to work in the United States on a full-time basis
