SENIOR LIBRARY ASSOCIATE

Portland Public Library (PPL) is currently seeking a Senior Library Associate for Interlibrary Loan. The person in
this posi>on is responsible for library work of a complex nature in the Interlibrary Loan (ILL) sec>on of The Access
Services Department. This posi>on is responsible for providing materials to patrons through transac>ons which
make library materials available from one library to another in a statewide and interna>onal interlibrary loan
service network.

Repor>ng to the ILL supervisor, this posi>on's primary responsibili>es are receiving, organizing, and processing
ILL lending requests through a variety of channels from libraries worldwide and doing the same for ILL borrowing
requests from local patrons. In addi>on, this posi>on has primary responsibility for photocopy acquisi>ons for
local patrons and providing photocopies to non-Region 1 or Region 2 requestors.

This is a union-represented, full->me, 37.5 hours per week onsite posi>on, scheduled to work Monday-Friday
a Ner training.

Nature & Scope

  • The main focus of this posi>on is >mely handling of incoming requests and inquiries, both for lending and
borrowing. This is accomplished through daily screening of requests for library materials and inquiries
received via mail, email, telephone, Sierra, and OCLC; and physically gathering materials to be distributed to
borrowing libraries.

  • The library's automated circula>on system and several online library catalogs are used extensively to verify
holdings and to reserve items. In addi>on, this posi>on is responsible for reques>ng, renewing, and making
inquiries about materials using the ILL subsystem of World Cat, the OCLC bibliographic database. Proficiency
in bibliographic searching skills is necessary for successful performance in this posi>on.
  • The Senior Library Associate for ILL fulfills photocopy lending requests by loca>ng, scanning, or
photocopying, and transmi Tng PPL materials to other ins>tu>ons by electronic or other means. The posi>on
also manages local patrons' photocopy fulfillment from other ins>tu>ons. This ranges from acquisi>ons to
monitoring fulfilled local requests for compliance with federal copyright law and regula>on.
  • Explaining ILL policies and procedures to PPL patrons, staff, and other librarians (using judgment in
interpreta>on of those procedures) is an ongoing ac>vity which requires flexibility of >me and temperament.
Other ques>ons and problems dealt with may include (but are not limited to) basic status inquiries; urgent-
need requests; clarifica>on of imprecise cita>ons and bibliographic informa>on.
  • This posi>on may handle incoming bills for fees associated with PPL patron borrowing and photocopying.
  • This posi>on has responsibility for proper packaging and labeling of mail requiring special handling (i.e.
interna>onal, priority, and/or insured mail; UPS or Fed Ex) in accordance with United States Postal Service
Interna>onal and domes>c regula>ons, and commercial delivery service policies. The incumbent par>cipates
in transfer of funds to Ill's postage meter.

  • This posi>on assumes some du>es of the supervisor when the supervisor is absent. The incumbent. assists in
training or providing direc>on to part >me, temporary and volunteer staff, and covers their tasks when staff
is absent.
  • This posi>on may par>cipate in commi[ees that develop and recommend library policy and is encouraged to
seek opportuni>es for professional development by reading professional materials, by par>cipa>ng in
workshops and mee>ngs, and by consul>ng with colleagues.
  • Par>cipates in maintaining a safe and welcoming environment for fellow staff and library users.
Basic Qualifica=ons

At the entry level, this posi>on requires successful comple>on of high school, or equivalent educa>on, training,
or experience, that provides the following skills and abili>es:

  • Strong service orienta>on and demeanor appropriate to provide a high level of service to a diverse public.
  • Excellent verbal and wri[en communica>on skills in dealing with the public and library staff effec>vely and
diploma>cally.
  • Ability to effec>vely convey and explain ILL policies and procedures to a varied audience.
  • Ability to work independently under >me constraints, following established procedures.
  • Ability to priori>ze and accomplish tasks with minimal supervision.
  • Basic computer skills including internet, email, word processing, data entry.
  • Microso N Office skills including use of Outlook email, Excel, and Word.
  • Ability to use library technology (library catalogs, Sierra, OCLC World Share, Share Point) effec>vely.
  • Strong a[en>on to detail.
  • Clerical skills, par>cularly sor>ng, ordering, and filing.
  • Ability to project a professional appearance appropriate to a business environment.

  • Prior library experience and experience using automated library or office systems helpful

Work Environment and Physical Demands

  • This posi>on requires regular use of computers.
  • This posi>on requires regular movement through library service areas and li Ning.
  • This posi>on is performed in a busy and diverse public library environment.
  • This posi>on may require li Ning up to 25 lbs.

Compensa=on & Benefits

Hours & Pay: This is a union-represented, full->me, 37.5 hours per week onsite posi>on, normally scheduled to
work, Monday through Friday. Pay begins at $21.82/hr.
