PURPOSE
  • Act as a first point of contact for Employees and take ownership of managing HR related query to conclusion in order to deliver a positive employee experience.

PRINCIPAL ACCOUNTABILITIES
  • Ensure adherence to HR procedures, practices, directives, systems, and regulations.
  • Support HR community with administrative and executional requiring face to face employee interaction i.e. wet signatures from employees, tasks related to frontline employees
  • Solve HR queries online, on the phone or on site.
  • Support training & change management activities, especially for frontline employees
  • Manage case resolutions (opening, updating, escalating as needed, resolving, and closing)
  • Guide employees and leaders in using self-service in Workday and other HR systems
  • Manage HR data quality and perform transactions in Workday and other HR systems
  • Handles the People function’s communications platform including drafting minor communications.
  • Handles the Medical insurance processes, including but not limited to processing additions, deletions, and providing comprehensive assistance to employees in submitting reimbursement claims, data management for insurance policy renewal. Collecting, organizing, and cleaning up data to support the renewal process, providing necessary reports related to insurance members. Circulate medical insurance related updates and benefits to the employees. Collaborate with the Insurance team to organize semi-annual medical insurance awareness sessions.
  • Prepares and maintains company’s Organizational Charts.
  • Coordinate and administer onboarding and offboarding processes
  • Supports the recruitment process by handling the pre & post recruitment requirements and onboarding logistics including but not limited to maintaining HR and recruitment files and records, conducting the Terminal’s induction, and ensuring the Checklist is completed.
  • Supports in updating, reviewing, and translating HR SOP’s and documents whenever needed.
  • Suports with the internal rewards process EX: Preparation of certificates/letters.
  • Supports with People related data Ex: Monthly reporting / updating the Dashboards
  • Prepare and handle HR documentation
  • Maintains the Master Personnel File, ensuring that filing is current and up-to-date, and that file is properly always secured.
  • Performs various administrative functions and may manage special projects, as assigned. EX: Support with people related activities that are driven by the People Function.

REPORTING AND SCOPE
Direct reports - None
The position reports to the People Advisor Lead.
Dotted line to the Head of the People Function .
The scope of the position is primarily local/domestic.

CRITICAL QUALIFICATIONS/SKILLS/EXPERIENCE
QUALIFICATIONS:
  • Requires a college degree in HR or business.
EXPERIENCE:
  • Two - Three years’ experience in an HR role; you could also have several years’ experience in a customer-facing service role and an interest in pursuing a career in HR
  • Knowledge of local labor law
  • Experience working with HR systems, preferably Workday, would be an asset.
