Personal Assistant to Executive

Job Summary:
We are seeking a highly organized and proactive Personal Assistant to support an executive in their day-to-day activities. The successful candidate will play a crucial role in managing the executive's schedule, coordinating meetings and travel arrangements, and handling various administrative tasks. The Personal Assistant will be responsible for maintaining confidentiality, providing exceptional support, and ensuring the executive's professional and personal life runs smoothly.
Responsibilities:
1. Schedule Management:
- Manage and maintain the executive's calendar, including scheduling appointments, meetings, and conferences.
- Coordinate and prioritize conflicting commitments, ensuring optimal use of the executive's time.
- Remind the executive of upcoming deadlines, meetings, and important events.
2. Travel and Logistics:
- Arrange complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and visas.
- Prepare detailed travel agendas and ensure all necessary arrangements are made.
- Anticipate potential issues or delays and proactively find solutions.
3. Communication and Correspondence:
- Screen and manage incoming calls, emails, and correspondence, responding on behalf of the executive when appropriate.
- Draft and proofread emails, memos, reports, presentations, and other documents as requested.
- Maintain an organized filing and document management system.
4. Meeting Coordination:
- Coordinate and schedule meetings, prepare agendas, and ensure all necessary materials are distributed in a timely manner.
- Take accurate meeting minutes and follow up on action items.
- Liaise with internal and external stakeholders, including clients, partners, and board members.
Qualifications:
- High school diploma required; bachelor's degree preferred.
- Proven experience as a Personal Assistant or similar role, supporting high-level executives.
- Exceptional organizational and time management skills, with the ability to multitask effectively.
- Strong written and verbal communication skills, with excellent attention to detail.
- Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, Power Point, Outlook) and calendar management software.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently, take initiative, and anticipate needs.
- Professional demeanor and strong interpersonal skills.

Ability to commute/relocate:
  • Manama: Reliably commute or planning to relocate before starting work (Required)
Experience:
  • Personal Assistant: 2 years (Required)

  • Fluent English (Required)
