Team Lead, Office Services

The Team Lead, Office Services is integral to the success of the Office Services team, and to CAAT’s guiding mission and growth strategy.
Reporting to the Manager, Office Services, the Team Lead supports the Manager in leading Office Services and Facilities Administration, ensuring high quality service standards. This role provides day to day leadership to Office Services staff including Reception, and Facilities Administration. They are the primary back-up to the Manager, Office Services to ensure smooth service operations and will support key projects and initiatives within Office Services. This role is integral to the smooth and high-quality operations of the office while working collaboratively with various stakeholders.
We are looking for someone with:
  • 5+ years of progressive relevant experience.
  • 2 to 4 years of people leadership experience.
  • Advanced knowledge of Microsoft Office (Word, Excel, Outlook, Teams, Share Point).
  • Strong experience in managing office procedures and facilities administration.
  • Post-secondary education in a relevant field or equivalent work experience.
  • Vendor management experience and familiarity with budget oversight.

  • Exceptional relationship-building skills with internal and external stakeholders.
  • A keen eye for detail and problem-solving.
  • Initiative and the ability to work independently without immediate supervision.
  • Strong communication skills, both written and verbal.
  • Analytical thinking with experience in tracking and reporting on metrics.
Once here you will:
  • Lead a team of Office Services staff and act as the primary back-up to the Manager, Office Services.
  • Build and maintain business relationships with key stakeholders to ensure smooth service operations.
  • Oversee office procedures and practices, ensuring alignment with policies and objectives.
  • Support vendor contract renewals and procurement of promotional materials across the organization.
  • Assist with annual budget submission and monitor office expenditures.
  • Coordinate tasks for meetings, projects, and strategic initiatives with various stakeholders.
  • Assist with office space planning, including office leases, growth projections, and space requirements.
  • Act as a member of the Joint Health & Safety Committee and support office/facility tasks as needed.
