Volunteer Manager - Indiana Sports Corp – Indianapolis, Indiana
Position Overview
The Volunteer Manager is a key member of the Marketing, Communications, and Engagement Team, and reports to the Vice President of Engagement. The Volunteer Manager will oversee the Indiana Sports Corp Volunteer Program, while supporting the overall engagement strategy and goals for the organization. This includes recruitment, registration, communication, orientation, event execution, and appreciation. The Volunteer Manager also collaborates with the Indiana Sports Corp Event Team to successfully host events and provide support to our event owners and partners. In this role, you will contribute expertise to implement and execute programs that enhance the volunteer program, supervise volunteers, and serve as a subject-matter expert on volunteer programs, processes, and systems.
General responsibilities (include but are not limited to):
Communicate effectively with all colleagues, presenting solutions to problems, and notifying team members when priorities shift, making necessary adjustments to meet deadlines and deliver high-quality work.
Oversees seasonal employees, graduate assistants, and/or interns based on event schedule and staffing needs.
Oversees the daily workflow of the Volunteer Program.
Manages volunteer committee members during the planning and execution phases for various events.
Maintains and updates volunteer manuals, policies, and procedures in collaboration with the Vice President of Engagement and Human Resources.
Data & Software Management
Manage and maintain the volunteer registration system, continuing to assess opportunities for innovation.
Review volunteer satisfaction data and collaborate with the engagement team on strategies to implement to improve the overall volunteer experience.
Maintain up-to-date best practices and solutions related to volunteer-based technology to continue to evolve and enhance the volunteer experience.
Build and distribute volunteer reports to track, communicate, and add context on progress towards for events and our overall organizational engagement strategy.
Review data and the makeup of the volunteer database identifying gaps and opportunities to grow and diversify the program.
Recruitment & Engagement
Collaborate with the Engagement Manager to recruit volunteers for events and support relationships with other volunteer-centric organizations.
Cultivate relationships with colleges and universities to promote volunteer and internship opportunities.
Increase brand and mission awareness amongst college students to build a pipeline of advocates, volunteers, supporters, and future leaders for committees.
Manage college education-based programs associated with events to develop deeper relationships and collaboration with universities.
Manage and execute volunteer collaborations with community partners.
Communication
Maintain the Indiana Sports Corp Volunteers email account and provide excellent customer service in a timely manner.
Develop an annual communications plan, alongside the communications team, to better engage our volunteers including development, education, appreciation, recognition, and individual membership opportunities.
Collaborate with the communications team on event communications sharing the necessary information for their shift, expectations, and appreciation.
Event Coordination
Collaborate with event/committee leads to determine roles, volunteer needs, and expectations.
Develop orientation plans and informative training for each event.
Coordinate parking, hospitality, apparel, etc. for volunteers.
Ensure background checks are performed in accordance with Indiana Sports Corp policy and State law.
Lead efforts related to volunteer check-in, deployment, and troubleshooting onsite at events.
Curate an elevated onsite experience at events to better engage and show appreciation for volunteers.
Qualifications
3-5 years prior experience in project management, volunteer management, event management.
Bachelor’s degree required

Excellent time management skills with a proven ability to meet deadlines.
Strong background in managing a registration system, experience in Salesforce, or related technology.
Stong background in implementing new technology and maintaining technology solutions.
Strong background in creating reports, analyzing data, and developing context around findings.
Strong background in managing budgets.
Strong analytical and problem-solving skills.
Strong supervisory and leadership skills.
Ability to prioritize tasks and to delegate them when appropriate.
Ability to balance and manage multiple projects at one time.
Ability to function well in a high-paced environment.
Experience using registration software, salesforce, or related technology.
