We are seeking an experienced and detail-oriented Development and Quality Manager to drive operational excellence, ensure the highest service standards, and support employee development through training and onboarding.
Job Summary:
The Development and Quality Manager will be responsible for overseeing the development of operational processes, ensuring service quality, performing various administrative tasks, and managing after-sales activities. The role will also include creating training materials, such as videos, to support new employee onboarding and ensure they are well-versed in company procedures and standards. This is a remote position, but the successful candidate must be willing to attend in-person training and meetups in Jakarta every second or third month for approximately three weeks at a time.
Key Responsibilities:
1. Process Development:
- Lead the development and optimization of customs clearance and logistics processes.
- Collaborate with cross-functional teams (operations, customer service, and compliance) to ensure alignment with business objectives.
- Innovate and streamline operations to enhance service delivery and efficiency.
2. Quality Assurance:
- Develop and implement quality control measures for customs and logistics operations.
- Ensure all services meet company and regulatory standards, including customs regulations and international trade requirements.
- Regularly review performance metrics to identify and address areas for improvement.
3. Administrative Tasks:
- Oversee day-to-day administrative functions related to operations and quality management.
- Manage scheduling, reporting, and documentation for operational and quality control activities.
- Handle communication with clients regarding operational updates and compliance matters.
4. Training and Onboarding:
- Develop training materials, including instructional videos, for new employees to guide them through the company’s processes and standards.
- Use translation tools to translate videos into other languages, ensuring that the training materials are accessible to international team members.
- Lead the onboarding process for new hires, ensuring they are fully integrated into the team and understand their roles and responsibilities.
- Organize and conduct regular training sessions to keep staff updated on process improvements and regulatory changes.
5. After-Sales Support:
- Provide after-sales support to clients, addressing any concerns or issues they may have with the services.
- Ensure that all post-service feedback is addressed and used for continuous improvement of services.
- Manage client relationships post-transaction, ensuring customer satisfaction and long-term loyalty.
6. Service Improvement:
- Continuously assess and enhance service workflows, reducing bottlenecks and ensuring timely delivery.
- Introduce best practices in logistics management and customs clearance to improve service efficiency.
- Lead improvement initiatives aimed at enhancing client satisfaction.
7. Customer Focus:
- Respond to client feedback and resolve service-related issues in a timely manner.
- Ensure that our customs clearance and logistics services meet or exceed customer expectations, contributing to long-term client relationships.
8. Compliance and Risk Management:
- Ensure all operations comply with local and international customs and logistics regulations.
- Manage risk assessments related to customs compliance and logistics processes, mitigating potential service disruptions.
9. Reporting and Documentation:
- Prepare reports on service quality, process improvements, and performance data for senior management.
- Maintain accurate and up-to-date documentation for all customs clearance and logistics activities.
Qualifications:
- Bachelor’s degree in Logistics, Business Administration, or a related field.
- Strong communication and organizational skills.
- Experience in training and onboarding, particularly in creating instructional materials such as videos.
- Experience in after-sales support and client relationship management.
- Proven ability to improve operational processes and ensure service quality.
