Executive Assistant to Founder

Overview:
As the founder of our new ice cream brand in Indonesia, you are seeking a dynamic Executive Assistant to support you in all aspects of setting up operations. This role requires a proactive individual with excellent organizational skills, attention to detail, and the ability to multitask effectively. The Executive Assistant will be responsible for managing both demand and supply side operations, as well as administrative and HR tasks.

Responsibilities:
Product and Market Development :
  • Contact malls and negotiate rents for kiosks to establish presence in high-traffic areas.
  • Conduct benchmarking of existing ice cream shops in malls, including documenting names, prices, products offered, and observing customer traffic for 15 minutes. Take pictures and compile findings into a presentation and Google Sheets list for analysis.
  • Research and benchmark cart providers/manufacturers to identify options for mobile ice cream units.
  • Evaluate freezer providers to select suitable equipment for storage and display of ice cream products.
  • Identify and compare ice cream equipment manufacturers to procure necessary machinery for production.
  • Research and assess mold manufacturers to source molds for unique ice cream shapes and designs.
Administrative & Finance :
  • Assist with company creation and change of business status, coordinating with lawyers and government officials as required.
  • Assist in budget planning and expense tracking for various operational activities.
  • Process invoices, payments, and reimbursements in accordance with company policies and procedures.
  • Prepare financial reports and summaries for review by management.
Recruitment, Training and Development:
  • Develop job descriptions for ice cream salespersons, outlining responsibilities, qualifications, and expectations.
  • Screen and interview candidates for ice cream sales positions, collaborating with the founder to assess suitability and fit for the brand.
  • Assist in the training and onboarding of new employees, ensuring they understand company policies, procedures, and customer service standards.
  • Provide ongoing support and guidance to team members to help them achieve their professional goals and contribute to the success of the organization.
Marketing Support:
  • Coordinate with graphic designers and content creators to produce marketing materials such as flyers, posters, and social media posts.
  • Monitor social media channels and respond to customer inquiries or comments in a timely manner.
Logistics Management:
  • Coordinate logistics for events, promotions, and product launches, including transportation of equipment and supplies.
  • Ensure timely delivery of ingredients, packaging materials, and other necessary items for production.
Event Coordination:
  • Plan and coordinate special events, promotions, and product tastings to attract customers and increase brand visibility.
  • Liaise with event organizers, vendors, and partners to ensure smooth execution of activities.
Inventory Management:
  • Monitor inventory levels and reorder supplies as needed to maintain adequate stock levels.
  • Conduct regular inventory audits to ensure accuracy and identify any discrepancies or issues.

Job Type: Full-time
Pay: Rp5,000,000 - Rp7,500,000 per month
Ability to commute/relocate:
  • Jakarta: Reliably commute or planning to relocate before starting work (Preferred)
Language:
  • Bahasa Indonesia (Preferred)
