HR & Corporate Affairs Assistant

Description
This position reports to Head of HR Japan and is based at Tokyo, covering 50% for HR and 50% for Corporate Affairs.
l Support for internal company-wide meetings: Venue search, communication with vendors, project management support, order placement, budget management, coordination with key stakeholders including vendors and internal project team members
l HCP communications Support : Meeting arrangements, minutes taking, support for contract-related work and internal compliance-related procedures
l New Employee On-boarding Management: Manage of new-hire onboarding and employee training – focusing on schedule mgmt. and experience improvement
l Support for other ad-hoc projects: Support for Japan employee site contents update, support for creating bi-weekly media coverage reports, etc.

Key Job Responsibilities
l Support for internal company-wide meetings: Venue search, communication with vendors, project management support, order placement, budget management, coordination with key stakeholders including vendors and internal project team members
l HCP communications Support : Meeting arrangements, minutes taking, support for contract-related work and internal compliance-related procedures
l New Employee On-boarding Management: Manage of new-hire onboarding and employee training – focusing on schedule mgmt. and experience improvement
l Administrative support for PR: Support for handling media inquiries including coordination with PR agencies, internal circulation of press materials for review/approval, media monitoring, reporting and clipping management, support for event planning and operations
l Support for other ad-hoc projects: Support for Japan employee site contents update, support for creating bi-weekly media coverage reports, etc.
l Secretarial and assistant work for the team for PR and HR as needed: Purchase order creation, meeting coordination, meeting room reservations, overseas business travel arrangements, team’s equipment management, coordination for region visitors

- Organizational and project management skills; executing with high levels of efficiency & accuracy
- Strong interpersonal skills to work effectively with colleagues at all levels of the organization as well as external stakeholders including HCPs
- Administrative experience
- Good written and verbal communication skills both in Japanese and English
Desired Qualifications
- Experience working in a multinational company desirable
- Knowledge of PR principles and ethics
