Finance Manager

Responsible to: General Manager – Operations
Functional Relationship with: Leadership Team, Board of Trustees, and Sport Otago staff.
Key Relationship with: Sport New Zealand, External Funding Partners, Active
Recreation Providers, Regional Sports Organisations (RSOs),
and Local Territorial Authorities.
Purpose of Position
As our Finance Manager, you will work closely with the CEO, GM – Operations, and the wider
leadership team. This is a pivotal role with responsibility for the effectiveness and efficiency of all
financial accounting systems, processes, and reporting for Sport Otago.
KEY TASKS OUTCOMES
Financial Management Responsibility to oversee the financial objectives of Sport Otago.
Monitor financial performance, identify trends, and recommend
corrective actions.
Oversee the preparation of financial statements and
financial reporting.
Manage costs and budgets throughout the organisation.
Preparing information for the Sport Otago Board (attending Board
meetings if needed).
Working closely with the staff at Sport Otago to understand their
funding needs and how they deliver their services to the community.
Preparing monthly and long term cashflow projection for the
organisation, as well as ad hoc scenario forecasts.
Managing the fortnightly payroll, preparing wages and associated
PAYE returns to meet Inland Revenue requirements, including GST
returns.
Managing the processing of creditor invoices, reconciliation of
accounts, and payment of all creditors.
Management of Maintain key relationships with regional and national funders,
Grant/Contract coordinating funding applications, preparing financial information,
Funding and providing accountability reports.
Develop funding models and scenarios to support projects and
initiatives in association with management.

Assist staff with application processes for new/renewal of grants.
Ensure all accountability reports and reconciliations are completed
prior to the deadline.
Board Reporting Monthly full management reporting with a report on variances.
Controllable budget vs actual reports for each cost centre/
programme.
Bi-monthly reporting of financials to Board of Trustees with a report
on variances and forecasts.
Preparation of draft budget on an annual basis.
Monitoring of budget vs actuals on an ongoing basis in conjunction
with GM - Operations.
Best Practice Demonstrate and implement best practice administrative processes
and procedures.
Ensure the Treaty of Waitangi and its principles of Partnership,
Protection, and Participation are acknowledged and reflected in the
implementation of the initiative.
Ensure all decisions and behaviours are inclusive and embrace
diversity across the organisation through a commitment to social
justice, equity, and equality.
Mitigate and openly communicate any possible risks or incidents that
have the potential to bring Sport Otago and/or invested partners into
disrepute.
Actively collaborate with the wider Sport Otago team, establishing a
good working knowledge of programmes and initiatives.
Contribute to creating positive awareness of Sport Otago’s services
and enhance the organisation’s profile within the community.
Other Duties Assist Chief Executive and GM - Operations with special projects
from time to time.
Other administrative duties.
Assistance at Sport Otago events as required by mutual
arrangement.
A minimum of 5 years’ experience in accounting or finance.
Demonstrated experience in the financial management of an organisation of at least
a similar size.
Proficient with overseeing budgeting, the active management of costs, and financial reporting.
Strong knowledge of accounting principles and financial analysis.
Exceptional communication skills.
High level of competence and interest in technologies.
Knowledge of financial statutory compliance standards.
Experience in using accounting systems, which could include Xero, approval software, payroll
software, and bill processing.
Ability to work autonomously or as part of a team.
Passion and interest in sport and recreation.
