Job Description/Requirements
The Alumni of Maritime Academy of Nigeria, Oron (AMANO) is a non-profit organization comprising ex-cadets of the Maritime Academy of Nigeria (MAN), Oron. It is an association with professionals whose years of experience and expertise span various fields in the maritime industry. Due to the continued expansion and growth of the association, the association seeks to engage an Administrative Secretary who will be responsible for the smooth running of the association’s administrative office.
The Administrative Secretary will handle various administrative tasks, coordinate office activities, and maintain effective communication across all levels. Skills such as organization, time management, communication, and writing skills are required for this role.


Key Responsibilities of the Administrative Secretary

  • The administrative secretary will be responsible for developing, and maintaining office files, preparing reports
and correspondences for the association and other general administrative needs; managing supplies/inventory,
ordering new supplies when needed, and ensuring proper maintenance of the association’s assets.
  • He/she will be responsible for preparing and distributing meeting minutes, updating and organizing files and
other necessary documents.
  • The administrative secretary will be responsible for the provision of administrative support to the executive and
also handle the scheduling, organizing, and coordinating meetings/events/conferences; as well as coordinating
travel arrangements, inquiries and incoming and outgoing correspondence, including emails, letters, phone calls
and reports
  • He/she will manage the Association’s calendar, ensure reminders on all events are set and all events are
achieved as when scheduled
  • Perform any other administrative tasks as assigned by the executive


Qualification

  • A Bachelor’s Degree in Administration/Secretarial Studies or from any related field
  • At least three years experience in a secretarial-related role


Skills and Competencies Required

  • Strong attention to detail and accuracy in handling administrative duties
  • Proficient in using office software such as Microsoft Office Suite (Word, Excel, Power Point, Google Suite,
Outlook)
  • Excellent written and verbal communication skills, including professional phone etiquette
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Excellent organizational and time management skills to effectively prioritize tasks and meet deadlines
  • Strong interpersonal skills to work effectively with internal and external customers
  • The candidate must demonstrate competence in the organization, coordination, and supervisory support
  • Ability to design and implement suitable Administrative Functions/systems
  • Ability to handle confidential matters responsibly and interact professionally with a wide variety of individuals
