About the role
The Junior Operations Associate at MEDLIFE is crucial in expanding our mission by ensuring the seamless, efficient, and safe execution of Service Learning Trips (SLTs).
Your day to day involves coordinating all logistics for Service Learning Trips (SLTs), ensuring a safe and seamless experience for volunteers and field staff. Responsibilities include managing registrations, trip communications, travel arrangements, budgeting, and supplier negotiations for Lima & Cusco regions. This role is essential for delivering impactful volunteer experiences that support the organization's mission to empower communities worldwide.
What will your day-to-day look like at MEDLIFE?
Volunteer & Trip Coordination
- Daily tracking of volunteer registrations and info follow-up (payments, flights, dietary, passport details).
- Administer SLT vouchers/discounts, update the reservation system, and answer volunteer queries.
- Support sales for coordinating volunteer requests and promotional activities.
- Manage hotel blocks/reservations and trip budgets.
- Prepare and update trip itineraries, budgets, and related documentation.
- Coordinate with hotels, transport, and guides; handle invoicing, reconciliation, and post-trip supplier feedback.
- Negotiate with suppliers for cancellations, rate renewals, and expansion into new destinations.
- Create and maintain a supplier rate card.
- Coordinate pre-trip and in-trip communication with participants and provide on-site support.
- Serve as the primary contact during trips at key locations.
- Manage emergency phone during clinic operations, providing 24/7 assistance.
- Manage inventory, track merchandise sales, and process commissions for trip leaders.
- Support full payment collection and follow-up.
- Implement strategies to enhance educational travel experiences, gather participant feedback, and suggest improvements.
- Develop new tourism products and explore destination expansions.
- 1+ year of work experience in operations, logistics, or travel coordination, ideally with experience in volunteer or educational programs.
- Bachelor’s degree in Business Administration, Hospitality, or related field.
- Advanced-level English skills required.
- Proficiency in reservation or database management systems.
- Familiarity with budget management and inventory tracking tools.
- Strong organizational and multitasking skills to manage multiple trip logistics efficiently.
- Excellent communication skills for participant interactions and vendor negotiations.
- Financial acumen for budgeting, invoice reconciliation, and payment processing.
- Problem-solving skills with the ability to handle last-minute issues and emergencies.
- High attention to detail, adaptability, and willingness to support operations on weekends or during non-standard hours.
- Commitment to the mission of empowering communities and supporting healthcare access globally.
