Course Advisor / Admissions Team Lead

Position purpose:
To play a central role in the development and implementation of AFG College with the University of Aberdeen’s strategy and policy on admissions, in collaboration with our Provost, lead and manage the College’s admissions process, ensure student applications are dealt with in a timely manner with a strong oversight on admission compliance in line with the University of Aberdeen’s admissions policy for the AFG Campus.
Position accountabilities:
  • In collaboration with our Provost and Head of Marketing, Recruitment and Admissions, ensure implementation of institutional policy in relation to admissions across the College.
  • Provide advice and information to the Senior Team on application and enrolment data and ensure best practice in this area.
  • The post-holder will support, the development of continued operational process improvement within this area, including the delivery of online elements to the processing of applications.
  • To ensure that the agreed processes which are derived from our University partner institution/s admissions policy/s, the appropriate QAA code of practice and other related policies are implemented in a consistent manner.
  • To co-ordinate and monitor the day to day operational processes of all prospective student applications, decisions, and applicant responses, ensuring that established procedures are adhered to, and that decisions taken are robust and justified in accordance with the approved admissions guide.
  • Attend College and University Open Events and Exhibitions for the purpose of recruiting qualified students and promoting the benefits of UK higher education.
  • Ensure that all prospective student applications are considered for entry based on their individual merits and treated in a fair and balanced way and without prejudice.
  • Carefully manage the workflow of the department and ensure that the Course Advisors supporting the Admissions process are able to meet the demands of recruitment cycles and in particular the various student intakes.
  • Ensure the timely and accurate updating of information for each stage of the admissions cycle.
  • Ensure consistency in the recruitment and selection process of AFG College with the University of Aberdeen prospective students in line with our widening access agenda, including reference to age legislation, equal opportunities and fair and equitable access to higher education and professional development.
  • Ensure all correspondence with prospective students/applicants is in line with the agreed communication procedures of the College and is delivered in a timely and accurate fashion, including the handling of sensitive cases and or rejection.
  • In line with the institutional recruitment and admissions plans, ensure that targets are met in a timely and efficient manner and if necessary, inform the Director of Marketing, Recruitment and Admissions with any inhibiting factors that may affect agreed out-puts.
  • Ensure that the College’s admissions policy documentation is kept up-to-date with particular reference to the introduction of new programmes, related entry criteria, tuition fees and compliance, for example QAA guidelines and University partner approved admissions criteria, etc.
  • Support our Provost in ensuring that institutional staff members including marketing, recruitment and faculty are informed of the College’s entry criteria and are kept abreast of any changes to admissions policies and procedures.
  • To be informed of any legislative changes affecting applicants, such as financial regulations, disability legislation, procedures relating to criminal convictions, national and international educational developments, such as fundamental changes to the secondary school curricula, e.g. international baccalaureate, GCSE / AS - A Level qualifications and all relevant qualifications under the relevant national and international frameworks.
  • Represent the College at relevant conferences, including Admissions Conferences, Student Recruitment Exhibitions as deemed appropriate by the Director of Marketing, Recruitment & Admissions.
  • Establish and maintain links with admissions colleagues at other HE providers, including, other Universities and Colleges within Qatar and the wider Gulf Region.
  • In collaboration with our Provost provide admissions and compliance training to our existing and newly appointed recruitment and admissions team/s and if required, to other related staff involved in the marketing and recruitment of prospective students.
Knowledge, skill and experience requirements:
Essential:
  • Educated to a degree level.
  • Experience in supervising, motivating and leading a multidisciplinary team.
  • An understanding of the university admission compliance challenges facing the Higher Education sector.
Desirable:
  • Degree qualification.
  • Relevant experience working within student recruitment in the Higher Education sector.
  • Demonstrable experience of successful implementation of international recruitment and business development campaigns.
  • Membership of a relevant professional body.
  • An Interest in/Relevant experience working in the Higher Education sector.
  • Knowledge and experience of student admissions and compliance in a challenging and fast moving environment both domestically and internationally
  • Ability to effect change and develop and implement changes and processes
  • Ability to lead and mange teams
  • Excellent communication and interpersonal skills and yet the ability to deal with a variety of people from a range of educational and social backgrounds in a firm yet sensitive manner
  • Ability to synthesise a range of data
  • A high degree of self-motivation and the ability to motivate others
  • Well-developed written and spoken communication skills.
  • Demonstrated ability to be well planned and organised in a busy and rapidly changing working environment.
  • Demonstrated ability to operate a broad range of computer packages, including competent use of Microsoft Office and Excel packages
