About the role
We are seeking an organised and detail-oriented Personal Assistant to provide high level confidential support to the CEO. This role will focus on helping the CEO manage day-to-day operations, plan and coordinate meetings, interact with internal and external stakeholders, and oversee key administrative tasks. The successful candidate will be proactive, reliable, and able to handle the complexities of a fast-growing Ed Tech environment.
Responsabilities:
  • Calendar and Schedule Management: Manage the CEO’s business calendar, coordinating meetings with clients, partners, and internal teams, ensuring smooth day-to-day operations.
  • Meeting Preparation: Organise and prepare materials for meetings, including creating agendas, taking notes, and ensuring follow-ups on key action items.
  • Travel Arrangements: Plan and manage all aspects of business travel, including booking flights, accommodations, transportation, and ensuring smooth logistics for international and domestic trips.
  • Event Coordination: Assist in planning and executing business events, conferences, and team gatherings, ensuring all logistics are managed efficiently.
  • Stakeholder Communication: Serve as the primary point of contact for the CEO, managing communication with clients, partners, and key stakeholders, and handling requests professionally and efficiently.
  • Task and Project Tracking: Monitor progress on key projects, ensuring that deadlines are met and providing regular updates to the CEO.
  • Email and Correspondence Management: Filter and manage the CEO’s email inbox, responding to inquiries, flagging important messages, and ensuring timely follow-up.
  • Research and Reporting: Conduct research on key business initiatives, markets, and trends as needed, and compile reports or presentations to support the CEO’s decision-making.
  • Liaise with department heads and team members to ensure smooth internal communication, follow up on action points, and assist with aligning cross-functional efforts.
  • Maintain and organise business documentation, ensuring that contracts, agreements, and other important files are up to date and easily accessible.
    Qualifications:
    • Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative support role, preferably with C-level executives.
    • Strong organisational skills with the ability to prioritise tasks, manage time effectively, and work under pressure.
    • Excellent written and verbal communication skills, with the ability to interact professionally across all levels of an organisation.
    • Proficiency with Microsoft Office (Word, Excel, Power Point) and cloud-based tools (Google Workspace, etc.).
    • Ability to manage complex travel logistics and event planning.
    • Attention to detail and a proactive approach to problem-solving.
    • Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
    • Bachelor’s degree or equivalent work experience preferred.
