The Projects Communications and Admin Officer will assist in helping the Projects department facilitate effective communication and coordination within all ongoing projects and the Corporate Projects team. They will also assist in ensuring a continuous flow of information among the corporate projects team and assist projects with administrative task
Role and responsibilities
Communications
1. Assist Projects Communications in maintaining individual projects YNET site or team site (if required) and monitoring monthly updates for communications purposes.
2. Assist Projects Communications in filming coordination within each project (filming requirements, scripting and planning of project videos) and corporate branding demands.
3. Assist in monthly updating of visual media of each FPSO projects throughout their milestones.
4. Assist Projects Communications in any Corporate visual media projects, scheduling and coordination and reviewing postproduction.
5. Assist individual projects in Corporate events coordination such as Naming Ceremony or vessel visits/tour.
6. Assist in reviewing corporate press releases for projects and fact-checking information when required.
7. Maintain Department Intranet pages.
8. Assist in ad-hoc visual media requests from ongoing projects or corporate.
Administration
- Maintain, create and filing of documents.
- Minutes of Meeting creation and issuance.
- Presentation development, diagram creation, and document control.
- Assist in Making/Processing Expense claims.
- Organize events within the department.
- Flight requests, booking, and accounting.
- Department Org chart maintenance.
- Interface with Legal dept.
- Maintain department Job descriptions.
- Maintain RFQ Database as required.
- Maintain Department Visa Validities.
Requirements:
- Degree qualified in a technical subject or Diploma in Marketing / Business studies.
- Good use of Word and Excel, Power Point, Visio, document control.
- Relevant experience in dealing with people.
- Memo writing Writing and procedural writing.
- Good team player with strong communication skills.
