About the Role:As a CBRE Facilities Coordinator, you will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete.
This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.
What You’ll Do:
1. Administrative Services
    • Property (Fire) Insurance renewal, payment request & insurance claim (Annual Asset Inventory)
    • Global Liability Insurance renewal, payment request & insurance claim
    • Local Liability Insurance renewal, payment request & insurance claim
    • Stationery contract renewal, ordering & payment request.
    • Letterhead/envelop contract renewal, ordering & payment request.
    • Business Card contract renewal, ordering & payment request.
    • Perform selected purchases decided by Executive ADM
    • Deputy to Executive ADM during his leave or when he is occupied by projects.
    • Urgent or at hoc project supports assigned by Executive ADM

    2. Office Access Control and Security
    • Access Management (Contract renewal, payment, and Maintenance & Repair)
    • CCTV Management (Contract renewal, Payment, and Maintenance & Repair)
    • Office Security 中興保全 (Contract renewal, payment and Urgent case handling)

    3. Property Administration
    • Routine rental related administration tasks. For example, chop, signing, data master file update and office rental and security deposit interests GUIs received from landlord Payment requests:
    o Office/Parking Spaces
    o Training Center/Parking Spaces
    o VPC Office / Parking Tower / Extended Warehouse
    o PDC、New PDC
    • Payment requests for office management fee, office electricity & water fees, Taipower fee
    • FM cost cross charging (issue GUIs via SSC Accounting Management System), maintaining cross charge excel file
    Calculating cross charge proportion.
    • Main contact window for facility shared area (公共區域; according to 大樓物業管理合約) related task execution (e.g. maintenance & Repair) and subsequent affected employee communication (including employee compliant handling).

    4. Office Warehouse Management (inhouse and offsite storage
    • MS office 13F Warehouse Management (Shelves space planning and allocation to departments)
    • Offsite storage Warehouse Management (document in & scrap including relevant documentation) contract renewal & payment request.

    5. Expat Housing Management
    • Expat Housing including selection, contract renewal, rental payment to landlord + Moving vendor purchase, contract, and payment + Housing agency purchase, contract, and payment. Arrange temporary hotel/service apartment. (around once every 2 years)

    6. Office Facilities Management
    • Locker (Employee distribution according to personnel change + repair)
    • Printing Machine (Contract renewal + payment + repair + printer paper purchase and housekeeping)
    • Air purifier (Purchase, Payment, and replacement execution)
    • Water dispenser (Purchase and payment)

    7. Mail & Courier Services and Custom Clearance administration
    Purchase, payment and project base request for mail and courier services.
    • Post Office Express (Chung Hwa Post)
    • Mailing Room Mails and Post Office Postage (pre-paid) Payment (Post Office)
    • Courier and Mailing (Global Commercial)
    • Courier and Mailing (Post Office Express)
    • Courier and Mailing (Tong Yi)
    • Courier and Mailing (DHL)
    Purchase, payment, and project base request for custom duty clearance (TCO)

    8. Other tasks assigned by superior
What You’ll Need:
  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
  • Car driving license
