The position is only open to Ukrainian nationals or residents of Ukraine, with a legal work permit.
Why work with WFP Ukraine?

The war in Ukraine has had drastic consequences, both for people inside the country and for those around the world who depend on its food supplies. The war has caused immense suffering for civilians, displaced families, and disrupted supply chains and food production. It has caused one of the fastest forced population movements since the Second World War. Close to 6 million Ukrainians are still living as refugees across Europe, and almost 3.3 million are internally displaced. Many have lost their homes and livelihoods. As food production and supply lines are disrupted by fighting, many families in the east and south of Ukraine do not have reliable access to nutritious food.

WFP uses a combination of food and cash assistance to support communities affected by the war. This includes working with local partners to distribute food boxes in areas near the frontline and providing cash transfers in locations where people have access to banks and markets to buy food. Since March 2022, WFP has distributed food and cash assistance equivalent to 3.01 billion meals to people displaced and affected by the war.

How can you make a difference?
The purpose of the Coordination and Information Management Officer (CIMO) is to support National level coordination in his/ her Area of Responsibility. The officer provides coordination and information management support and guidance to the CIMOs at the Hub Offices (downstream) and reports to the cluster Coordinator (upstream). This support includes consistent coordination, liaison with partners and other humanitarian actors, and the development, dissemination of FSL cluster information products and regular field trips.
Coordination:
  • On behalf of the FSL CC, liaise with national NGOs, mainstreaming cluster guidelines and standards and providing capacity building.
  • On behalf or in the absence of the FSL CC, attendance at regular national coordination forums, deputizing for the cluster coordinator at times, including but not limited to: ICCG, CWG, AAWG and all related HPC meetings during the HNRP process.
  • As a member of Cluster Strategic and Technical Review (STR) committee, conducts Strategic Review of projects proposals submitted under UHF allocations.
  • On behalf of the FSL CC, contribute to the Ukraine Country Office Annual Performance Plan. Weekly reporting to the Operational IM team and Head of Programme, when requested.
  • Support coordination at hub level, providing guidance to hub offices and ensuring an efficient flow of information and communication with the cluster coordinator.
  • Support coordination of cluster meetings at the national level in Kyiv: a) organize (liaise with Administration team over conference room booking, interpreters contracting; ensures relevant IT equipment provided by ETC; dissemination of email invitation to partners), b) facilitate the involvement of relevant speakers, c) prepares presentations, e) provide Cluster updates in meetings, f) act as a moderator.
  • Proactively coordinate FSL partners‘ response in the event of crisis events (natural and human related) such as contact line movement, massive casualties response, mandatory evacuations etc.
  • Foster a collaborative environment among cluster members, encouraging information exchange and joint planning.
Capacity Building:
  • In support to the CC, provide support, guidance, information sharing, and mentoring to the Regional CIMOs (South & East Hub Ao R) and sub-national cluster coordinators (SCC). Performing duties of the Regional CIMOs during their absence.
  • Provide capacity building and guidance to national FSLC members on cluster guidelines and standards.
  • Proactive engagement with related teams e.g. In-Kind, Research, Analysis and Monitoring, Cash Working Group etc.
  • Support Regional Hubs during election and endorsement of CFPs. Strengthen Cluster footprint at the sub-national partners meetings.
  • On behalf or in absence of the FSL CC, act as a technical expert, participate at interview panel during the recruitment process of Regional Cluster CIMOs and other Programme staff.
Information Management:
  • Under the CC supervision and support, develop, design, and upgrade the FSLC Newsletter on a bi-monthly basis.
  • On behalf or in absence of the FSL CC, actively participate at the IM relevant forums (e.g. IM Working Group and Assessment and Analysis Working Group.
  • Collate and manage food assistance requests (including management of the database, following up with partners), as needed.
  • Facilitate the establishment, management, and maintenance of Cluster mailing lists at the national level.
  • Support information collection for the 5W database and derivative products. Identify and utilize secondary data and information resources.
  • Note taking and production of minutes (in both English and Ukrainian) from Cluster-led meetings e.g. Monthly Partners Meeting, Food Assistance Working Group, Strategic Advisory Group, and others.
  • Perform any other tasks that may be required.
To join us in saving lives, changing lives, you will have:
Education:
Advanced University degree, or First University degree with additional years of related work experience and/or training/courses in: political sciences, project management, international affairs, social sciences, statistics, agriculture, development studies or a field relevant to international development assistance, or other related fields.
Experience:
At least one (1) year of postgraduate professional experience of working in project management, international affairs, social sciences, statistics, agriculture, or other related fields.
Experience in managing complex tasks (may be public or private sector);
Proven prior experience of working as an information management officer; Experience in food security programmes is an added advantage.
Skills:
Proven knowledge, abilities and skills in the areas of preparing a variety of quantitative and qualitative information summaries and reports;
Strong knowledge of and experience in using advanced Excel, Word and PPT; In-depth knowledge of coordination methods, metrics and reporting systems; Ability to work in difficult environments, in often stressful time-critical situations;
Maintenance of contact database;
Advanced written and communication skills;
Ability to work and learn quickly without need for external follow up, solve problems and proactively anticipate bottlenecks.
Languages:
Fluency in oral and written English and Ukrainian.
