Operations Assistant/Data Processing

As Operations Assistant/Data Processing you will support a team of Client Partners in managing operational and administrative tasks across multiple client accounts. This role is crucial for maintaining smooth workflows, facilitating communication, and ensuring the timely delivery of essential reports and project updates. The ideal candidate is highly organized, proactive, and adept at handling multiple tasks while interacting with various stakeholders.
Responsibilities:
- Platforms Administration: Manage access permissions for key platforms, ensuring tech interviewers and other team members have the required credentials.
- Time Reporting: Set up and manage time reports for new hires, ensuring accurate tracking and reporting.
- Project Management Tools Support: Provide assistance and resolve queries related to task management software.
- Time Reporting: Support team members with time report submissions and resolve any related issues.
Client-Specific Responsibilities:
- Onboarding Coordination: Onboarding communication about new team members, introductory meetings with Clients, and coordination with internal teams to ensure smooth integration. Update relevant documentation to reflect changes.
- Meetings Support: Attend regular meetings with stakeholders, take detailed meeting notes, and ensure follow-up on key action items. Assist with internal alignment calls and maintain accurate records.
- Monthly Reporting: Prepare and deliver Resources and KPI reports for stakeholders.
- Project & Headcount Support: Assist with preparation and coordination for key meetings, including gathering and analyzing data, preparing presentations, and managing attendee lists.
- Document Management: Maintain and update key documents related to:
- Personnel movement and legal status.
- Travel arrangements, equipment allocations, and structural updates.
- Proposals for organizational changes.
- Assist with preparing presentations and other ad-hoc tasks as requested.
- Bachelor’s degree in Business Administration, or a related field (preferred).
- Proven experience in an administrative or project coordination role.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in project management tools and platforms.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
- Strong Microsoft Office skills, particularly in Excel and Power Point.
- Good level of written and spoken English.
- Experience working in IT services or staff augmentation is a plus.
