TITLE: Refugee Data Associate
REPORT TO: Refugee Data Manager
LOCATION: Zagreb (Croatia) or Vienna (Austria)
Purpose of the role:
To work closely with the Refugee Data Manager to provide timely and professional reporting support to Tableau and US Government secured database users. Collaborate with program operations staff to understand refugee processing activities in order to provide thoughtful, efficient and creative reports. Be a point of contact for partners (RPC) to report issues, as well as discuss important updates and support Refugee Data Manager in ensuring that new guidance is communicated clearly to the teams. Additionally, prepare training materials, deliver trainings, and quantify training efficiency.
Primary responsibilities:
  • Maintain background data integrity of Tableau in order to ensure functionality of current reports
  • Have administrative oversight of Tableau site to ensure permissions, folder structure and subscriptions are in place as agreed with the Refugee Data Manager, as well as address and escalate technical issues as needed
  • Create, develop and publish internal and external reports as needed, in consultation with Refugee Data Manager and Program Managers
  • Create and keep Business Cases up to date as necessary
  • Provide responsive and customer-focused quality support to users who report faults or request assistance with their reports
  • Maintain a thorough understanding of the US Government secured database and Tableau reporting system
  • Assess user’s training needs, develop and provide ongoing trainings relating to new developments in US Government secured database and Tableau reports, collaborate on the creation of quizzes/surveys for feedback
  • Support onboarding of new US Government secured database users by training new and existing users on how to effectively use the US Government secured database and Tableau reporting system
  • Proactively check data for mistakes and inconsistencies, communicating with RSC Program Teams to ensure timely data corrections
  • Coordinate with the Refugee Data Manager on audits on use the US Government secured database and Tableau reporting system organized by the Resettlement Support Center (RSC) in order to ensure their accuracy and timely reporting
  • Embrace a data protection mindset; motivate colleagues to utilize START functionality like workload views, assignment groups, and filters to track, monitor, and organize work in-system and not outside of the START system
  • Maintain overview of Git Hub Data Analytics site, post and follow up on items as needed
  • Report issues to the Resettlement Support Center (RPC) related to either US Government secured database or Tableau reporting system through designated platforms (RPC Helpdesk, Github)
  • Actively suggest and employ creative solutions to automatize tasks and reports to increase efficiency within the Refugee Data team and Program Teams
  • Support the Refugee Data Team with MEAL related items, and provide support to staff responsible for data submission as needed
  • Coordinate action items within the Refugee Data Team as necessary
  • Review SOPs and update as necessary
  • Prioritize tasks and escalate issues or areas of concern
  • Act as a point of contact between Refugee Processing Center (RPC) Data Analytics’ team
  • Any other ad-hoc duties and projects as organizational needs dictate
Key skills and attributes
  • Excellent Excel skills, proficient use of Excel functions necessary
  • Good understanding of databases and Tableau (or other business intelligence tools)
  • Ability to handle big datasets, conduct data analyses and create efficient reports, visualizations and dashboards depending on teams’ needs
  • Good knowledge of SQL preferred
  • Experience with USRAP would be an advantage
  • Demonstrates critical thinking
  • Fluent spoken & written English
  • Ability to communicate information in a clear, concise manner
  • Generally technically savvy and interested in learning more, with an ability to quickly grasp how software systems work
  • Proactive about continuously improving their skills and learning new things
  • Well organized and able to manage multiple priorities and deadlines
  • Good problem solving abilities
  • Ability to prepare training materials and deliver trainings
  • Capable of understanding how actions affect the overall process, while still taking details into consideration
  • Foresight to ask follow up questions to ensure the task is being completed as originally intended rather than perhaps as initially requested
  • Has good judgment – knows when it is appropriate to escalate
  • Attention to details even under pressure
  • Ability and willingness to travel internationally 1-2 times per year
  • Have a calm and professional approach to managing problems
  • Highly organized and able to manage multiple, conflicting priorities
  • Absolute professionalism and discretion in respect of confidential information
  • Strong knowledge of Windows based software applications
All applicants should have the legal right to live and work in Austria without additional support.
Compensation for this position is minimum 2800 euro monthly in accordance with all standard Austrian legal and tax deductions.
This position is 100% in office and remote work is not possible, however a flexible time schedule is available internally.
This position is subject to the availability of donor funds.
