Inspections Coordinator
Permanent Full Time
Location: Brazil
As world-recognised maritime safety and environmental experts, Right Ship aspires to be a leading voice in industry. Reporting to the Head of Inspections, the Inspections Coordinator will schedule, manage and file communications, entering details into the Right Ship database and process invoices for Dry and Petroleum inspections conducted by Right Ship.
Major Responsibilities
SCHEDULING
- Respond to requests from ship operators for RISQ inspections
- Schedule/assign inspectors to complete the inspection based on location of inspection, inspector qualifications, inspector availability and cost minimisation
- Monitor changes to schedules due to changes in vessel ETAs or other circumstances and respond if required
- On a roster basis attend to urgent inspections matters out of hours and at weekends. Overtime or TOIL compensation paid beyond reasonable overtime.
INVOICING
- Process invoices for inspections in our accounting system.
- Process invoices for ship operators in our accounting system.
ADMINISTRATION
- Electronically file all correspondence
- Send dry inspection reminders to ship operators
- Create inspections records with initial details (ship, port, date, inspector, party to be invoiced)
- Other administration support as required
Qualifications, Skills & Experience
- Previous business administration or equivalent experience (minimum 5 years)
- Good knowledge of Microsoft Office Suite including Excel, Word and Outlook
- Ability to learn and utilise in-house computer systems and database
- Accurate data entry skills
- Provide outstanding customer service
- Knowledge of world geography, covering countries and ports
- Good spoken and written English Language skills
- Knowledge of Shipping and Shipping terminology highly desirable
