About the Role
We’re Hiring for a Billing Administrator to join our team in Calgary, AB for a temporary, 2-month contract. This role is 80% in office with 20% flexibility to work from home.

You will be responsible for reviewing data throughout our invoicing processes, billing customers, and working alongside the team to identify opportunities for improvement.

The Billing Administrator is an integral part of the Lodge Link team and is responsible for Customer billing and booking cost of goods sold (COGS). You will have a keen eye for detail, working with our commercial team upstream to align customer billing expectations, handling clients account queries, reporting on any issues found during our billing processes, and working with the team to meet billing deadlines. Essential skills for this role include strong interpersonal and communication skills to build quality relationships with the team and with our internal stakeholders. The ideal candidate will have 2+ years of experience in accounting administration, including customer invoicing/billing, with an aptitude and desire to take ownership of their work to deliver results. They will enjoy working cross-functionally to investigate and resolve billing issues, build strong relationships across teams and have a high level of attention to detail and quality in their work. They will be a quick learner, and have the ability to identify opportunities for improvement as well as present solutions, while working across the organization to make a positive impact and meet our customer’s billing requirements and timelines.

Duties and Responsibilities
  • Reconcile folios and amounts charged to Lodge Link from suppliers vs. reservations in our system including guest days, room rates, taxes and hotel-specific fees.
  • Create accurate charge sheets for customers based on reconciled reservations.
  • Maintain and organize electronic files received from suppliers and customers.
  • Liaise with hotels and properties as required to ensure appropriate documentation is received in a timely manner to resolve disputes.
  • Responsible for telephone and email requests to hotel properties to collect and resolve outstanding folios.
  • Clearly communicate priorities and obstacles to the team and your supervisor.
  • Escalate issues in a timely manner.
  • Other duties as required.


Qualifications
  • Post-secondary certificate or degree in business administration or equivalent.
  • Candidates with hotel administration or night auditor experience are strongly preferred, travel industry experience may also be considered.
  • 2+ years of experience with data/order entry and account management.
  • Strong attention to detail, adaptability, and be very organized
  • Strong computer skills especially with Excel are required.
  • Self-starter and comfortable working in a fast-paced dynamic environment.
  • Must have excellent communication, strong interpersonal and problem-solving skills, with the ability to build friendly and collaborative working relationships with clients and colleagues.
  • Must be fluent in English both oral and written.
