PRIMARY FUNCTION
Reporting to the Lumeo Operations Manager, the Workstream Supervisor will provide oversight of Provider workflow design, build and testing. This role will directly oversee a team of 2-5 clinical systems analysts and indirectly support 4-12 members of the larger operations team. This role will be supporting local system end users within this specialty area, focused on the operational support and optimization of the Regional Health Information System (RHIS) for the Southeast Hospital Cluster, including actions required for requirements gathering, system testing, and implementation of workflow updates and changes. In addition, they provide advice, guidance, and support to hospital leaders, staff and partners on workflow improvements.

Within this role the employee is accountable for contributing to the delivery of the Regional Health Information System (RHIS) strategy and ensuring integration with other workstream managers, clinical leaders and regional governance to drive efficiency & standardization. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care.

RESPONSIBILITIES & DUTIES INCLUDE:
Project Management
  • Reviews day-to-day management of operational plan to achieve goals.
  • Oversee day-to-day management and workload of the workstream’s operational team members and provide guidance to meet business needs.
  • Communicates goals and expectations from the Manager / Director for staff to ensure they support the broader process/operation and provide technical guidance and work direction to staff, as needed.
  • Identifies, manages, and mitigates/resolves risks and issues.
  • Regularly monitors team productivity, progress, and effectiveness of team in comparison to established performance metrics and operational KPIs.
  • Takes corrective action to ensure that operational delivery strategies and services continue to operate efficiently and effectively; ensure project reporting requirements are met.
  • Reviews monthly metrics and reports to draw insights on volume and types of operational issues received and resolved as per the service level agreements and correct accordingly.

Operations
  • Proactively engages with internal clients and regional stakeholders to understand and address current and future operational needs for their workstream.
  • Collaborates on appropriate team structure and staffing / competency mix based on operational needs and special projects.
  • Facilitates regional working groups to discuss the status of key deliverables, shared issues, end-users’ concerns and upcoming milestones impacting clinical and non-clinical workflows.
  • Supports team compliance with regional incident management, change control operational policies and standard operating procedures.
  • Work with local and regional leadership standardization within and beyond the workstream.
  • Work with Lumeo Operational team on change requests and issue resolution to ensure appropriate integration concerns are addressed.
  • Keeps abreast of how the system is being used in other organizations to identify opportunities for optimization, enhancements, etc.
  • Participates in operational activities including use of the ITSM system, Incident Management, Change Control, Enhancement projects, change management and on-call.

Team Development
  • Develops staff as required to execute workstream strategy.
  • Creates an environment for personal development so that each member of the team can maximize their potential.
  • Leads, guides, and coaches the team on educational opportunities.
  • Assists with the development and monitoring of annual performance objectives for team members.
  • Develops and maintains teams’ technical skills, and arrange technical and leadership training as required.

Relationships Building
  • Serves in a lead or supportive role in presentations to senior leadership on key project updates, broad reaching optimizations and issues, industry trends, etc.
  • Serves as liaison between workstream and regional leads to build trust and seek active feedback on the workstream functionality.
  • Manages regional/local stakeholders and project teams through regular consultation to improve the RHIS experience and support best practice workflows.

Annual Workstream Strategic Planning
  • Assists with the implementation of workstream strategy including tools and resources needed to ensure goals and objectives can be achieved and sustained.
  • Prioritizes demands and maintains focus on departmental priorities.

BASIC QUALIFICATIONS:
  • Community College Diploma (3-year program) or equivalent
  • Licensed as a Regulated Health Care Professional in Canada
  • University Degree or equivalent (preferred)
  • 5+ years of relevant experience in managing teams
  • 5-7 years of significant position related experience (preferred)
  • Strong knowledge of processes and workflows in one or more departments or units
  • Experience leading teams, overseeing implementation or improvement initiatives within your respective unit or departments
  • Strong leadership skills with the ability to nurture strong, collaborative relationships with key stakeholders, ability to help them shape and optimize operational processes and workflows
  • Ability to leverage project management skills to manage and balance client demands for IT systems with high-quality delivery
  • Ability to manage small teams and guide them to decisions that support organizational objectives
  • A results-oriented focus is essential, as is the ability to work in a fast-paced changing environment and effectively manage multiple priorities simultaneously
  • Strong planning, analytical, problem-solving and organizational skills
  • Strong interpersonal, verbal and written communication skills
  • Project Management Professional Certification (preferred)
  • Oracle Health (Cerner) u Learn courses (preferred)
  • Leadership courses (preferred)
  • Lean Six Sigma courses (preferred)
  • Proven ability to attend work regularly.
  • Satisfactory criminal reference check and vulnerable sector search required.
