Project Coordinator (Commercial)
Reports to the Project Manager (PM). The Project Coordinator will work closely with the PM on project specific tasks. Duties and responsibilities include but are not limited to the following:

Education
  • Bachelor's Degree or Diploma in Architectural Technology Construction Management or Engineering.
Years of Experience
  • Minimum 2+ years of construction experience.
Working Conditions
  • Office setting and site visits;
  • Work environment requires wearing PPE for all site work and in certain other locations;
  • At times requires driving to visit sites, clients or suppliers to pick up samples;
  • Full H&S training required (Working at Heights, WHMIS);
  • Follow Health and Safety standards on site; and
  • Flexible to work overtime as required.
Required Skills
  • This role is supportive, where the incumbent acts as a liaison by communicating with external parties and assisting project managers in organizing and coordinating all aspects of a project, from start up to close out;
  • Responsible for the internal/external meeting minutes and sending them to the PM before distribution and following up;
  • Communication with coworkers daily by telephone, email and in person;
  • Detail oriented with the ability to read architectural drawings;
  • Ability to act as a mentorship to other project coordinators;
  • Issue installer contracts;
  • Ability to work independently with minimal supervision;
  • Discretion, judgement and tact to handle confidential information;
  • Proficient in Microsoft Office, Outlook, Excel, Procore and any other internal software;
  • Demonstrate State's core values and work in a team environment; and
  • Ability to take over the project from the PM at 90%.
Job Specific Duties
  • Study the project and identify any discrepancies to ensure full accountability of the project;
  • Full understanding of blueprints and use of Bluebeam for marking up drawings;
  • Full understanding and use of Procore;
  • Prepare start-up checklist to include request for Issued for Construction (IFC) architectural drawings and other documents required to start shop drawings;
  • Attend kick off meeting with the AD, PM and Estimating;
  • Download all drawings required to start the shop drawing process using Procore;
  • Order samples to suppliers as per bid proposal and submit to the contractor for approval;
  • Organize and manage silicone testing;
  • Use standard State boxes to send out samples;
  • Request, create and update approved sample list using Procore;
  • Work with PM and FM in comparing scope of work with bid proposal and installer's quote while updating any scope of work changes;
  • Download and maintain all RFI's and SIs and advise PM of need to review for extras and scope of work changes;
  • Send Requests for Information (RFIs) to the Construction Manager to clarify discrepancies in conjunction with Drafters;
  • Log in to customer sites weekly to check for SI's'
  • Send shop drawing to engineer for review using Procore;
  • Send stamped shop drawing to contractor;
  • Update current drawings, maintain drawing logs and construction schedules using Procore;
  • Develop, coordinate, and track door designs and fabrication schedule in conjunction with PM;
  • Prepare LEED forms as required;
  • Print sets of the latest marked up shop drawing for takeoff, breakdown and for installers at kick off meeting;
  • Prepare the area report for installer's contract;
  • Update the part quantity report as the project progresses;
  • Help with parts release if required;
  • If a project is guaranteed, download the latest slab edge and structural drawing prior to breakdown;
  • Update Outstanding CCOs and send a follow up email to contractor;
  • Update the Installer/FM's information tracker;
  • Update Project General Information;
  • Responsible for completing meeting minutes;
  • Maintain project folders and updates;
  • Access Procore to track deficiencies; and
  • Represent State, as requested, in business with customers, consultants, contractors and suppliers.
