MENCK is looking for a full-time and permanent Back Office Assistance (m/w/d) at the Kaltenkirchen site as soon as possible.

Duties/Responsibilities:

Ensure that the vision, values and goals of the Acteon Marine Foundations business line are lived and implemented

Carry out all tasks in accordance with Acteon QHSE policy. Promotes awareness of HSE on site and in the workplace

Arrange visas and work permits for personnel

Arrange flights, hire cars, accommodation, and other travel for personnel

Create BANF and review incoming invoices in the Acteon IT Software, such as Navision

Maintain Acteon IT Program such as HRWorks and Sharepoint in line with the latest updates

Verify the work certificates and assist the personnel to apply the visa and work permits

To support the FPM Team, if needed

Supports emergency out of hours cover including on the weekend, if needed

Requirement:

Strong analytical and data interpretation skills.

Excellent management and coordination abilities.

Effective communication and teamwork skills.

Adaptability, flexibility, and proactivity

Self-driven personality

Willingness continuing professional development.

Business English

Highly organised – able to prioritise and manage multiple workloads.

Experience using large databases, creating schedules, managing own workload.

Experience with crewing coordination and travel booking, working with 3rd party worldwide
