Your role encompasses the daily management of administrative tasks, the coordination of company functions, the planning of events, the arrangements of travel and accommodations, as well as the supervision of purchasing and inventory activities. To succeed in this position, we believe you possess good interpersonal skills and are someone who is easily approachable. You are well structured and detailed oriented. You are adept at devising new strategies and pivot with ease in the face of changing work conditions, ensuring a team-centric and affirmative stance in your professional endeavours.
On a day-to-day basis, you will:
- Assist the Managing Director with vendor management, procurement, transaction coordination, payments, office facilities management, documentation, and clerical responsibilities, including guest reception.
- Organize and manage company events, employee engagement activities, and meetings, while coordinating onboarding, desk allocation, door access, orientation, and employee exit processes.
- Support recruitment, transfers, work permits, payroll, insurance administration, proposal and tender preparation, and update the employee manual as needed.
- Maintain office facilities, cleanliness, supplies, and manage IT requisitions, purchases, and inventory for staff and office.
- Handle claims for childcare leave, national services, and other expenses, and maintain employee personnel records, updating internal databases of all hires and office staff.
- Coordinate and support senior staff travel, including visa applications, flight arrangements, and accommodation, ensuring a positive work environment.

On top of that, you will have:
- Bachelor's or masters in any field with 5+ years of experience.
- Good knowledge of local employment act and regulations
- Excellent (fluent) verbal communication, German and English, and customer service skills
- Strong time-management and multitasking abilities
- Sensitivity, understanding and flexible and open to change
- Ability to maintain confidentiality of company information
- Ability to work independently, able to plan, manage and complete your task on time.
