Job Description

Sanden International (Europe) Gmb H is looking for an Personal / Project Assistant (f/m/d) in Bad Nauheim, Germany. You will be the connector between our CEO and C-Suite executives, governmental authorities, as well as project leaders, ensuring timely delivery of information and data. Your role includes coordinating complex international meetings and tracking project milestones. Success will depedent on your exceptional organization, communication, and relationship management skills.

Essential responsibilities (including but not limited to):
1. Personal Assistance to CEO:
  • Schedule Management: Efficiently manage the CEO's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements across multiple time zones (Japan, China, France, Germany, Morocco).
  • Communication: Handle all correspondence for the CEO, including emails, phone calls, and written communication, ensuring timely and professional responses.
  • Documentation: Prepare and edit reports, presentations, and other documents for executive meetings, ensuring accuracy and clarity.
  • Event Coordination: Organize and coordinate high-level meetings, visits, and events with international executives, ensuring all logistics are smoothly handled.
2. Project Assistance:
  • Progress Tracking: Monitor the progress of contract negotiations and the preparation stages for the establishment of a new automotive production plant in Morocco. Ensure that all deadlines are met and deliverables are on track.
  • Cross-Departmental Liaison: Act as a bridge between departments, ensuring clear communication and collaboration to facilitate smooth project execution.
  • Documentation Management: Maintain organized and up-to-date records, files, and documentation related to the project. Ensure all documents are readily accessible and properly archived.
  • Reporting: Regularly update the CEO and other stakeholders on project status, highlighting any potential risks or issues and suggesting solutions.
3. Relationship Management:
  • C-Suite Interaction: Serve as the primary point of contact for C-Suite executives involved in the project, managing relationships with a high degree of professionalism and empathy.
  • Stakeholder Engagement: Understand and anticipate the needs of various stakeholders, ensuring their expectations are met and exceeded.
  • Problem-Solving: Quickly identify potential issues in project execution or scheduling conflicts and proactively resolve them.

Qualifications
Required experience and education:

  • At least 3 years of experience in supporting senior executives in a similar role, ideally with exposure to international projects
  • Bachelor’s degree or other diploma in Business Administration, Project Management, Hospitality, or a related field is preferred
Your Must Haves:
  • Interpersonal Skills: Excellent relationship management skills, particularly at the C-Suite level, with the ability to navigate complex interpersonal dynamics while showing a high level of empathy
  • Organizational skills: Demonstrated strong organizational and multitasking abilities, including having an eye for detail, prioritization of tasks and meeting deadlines
  • Communication skills: Proficient in verbal and written English and Arabic, allowing a fluent and clear articulation of ideas, concepts, thoughts, and complex information
  • Project Management: Proven track record of coordinating complex projects, preferably in the automotive or manufacturing sector
  • Independence: Ability to work independently, prioritize tasks, and manage time effectively in a fast-paced environment
  • Proactive Attitude: A proactive approach to problem-solving, with the ability to anticipate needs and act accordingly.
  • Tools: Full proficiency in Microsoft Office 365 and office management software with advanced knowledge in Power Point
Your Nice-to-Haves:
  • International Experience: Experience working with international teams, particularly in Japan, China, or European countries.
  • Project Management Certification: PMP or similar certification is an asset.
  • Industry Knowledge: Familiarity with the automotive manufacturing industry, particularly in relation to new plant establishment projects.
  • Additional Language Skills: Proficiency in French or German would be advantageous.
