Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains first level of security for CICOA’s front lobby.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Morning Receptionist: Responsible for opening front lobby at the beginning of the work day.
  • Afternoon Receptionist: Responsible for closing front lobby at the end of work day.
  • Welcome on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Oversee Lobby for general appearance and basic supplies
  • Screen vendors as needed, notify appropriate personnel.
  • Grant visitor access to secured area when appropriate.
  • Maintain visitor sign-in sheets and distributes visitor badge.
  • Request appropriate identification when situation requires.
  • Greet applicants scheduled for interview, provide background check form as requested.
  • Provide Visitor Information to visitors when appropriate.
  • Schedule ADRC walk-in clients if unable to be seen. Provide reference sheet for scheduled client.
  • Assist clients with administrative needs, copies, faxes, etc.
  • Sign for deliveries and notifies recipient/department.
  • Order supplies for front desk/lobby when needed.
  • Support Emergency processes to include drills.
  • Merge duplicate information in Refer Net.
  • Check General Mailbox every two hours.
  • Afternoon Receptionist: Reviews weekly Outlook calendar for scheduled events. Informs HRIS specialist when confirmed.
  • Afternoon Receptionist: Create and sends out kitchen cleaning schedule.
  • Answers internal phone line and monitors voice-mail.
  • Demonstrate a commitment to the Exceptional Experiences.
  • Comply with HIPAA regulations.
  • Role model ICARE values for CICOA employees and visitors.
  • Oversee cell phone donation program.
  • Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
EDUCATION and/or EXPERIENCE High School Diploma or the equivalent required. Two year’s experience in an administrative position required.. Two year’s experience in a customer service position preferred.
